Job Description

Title : US Onboarding Specialist

Location : Chennai

Shift : 7 PM TO 4 AM IST

The US Onboarding Specialist is responsible for managing and delivering a seamless onboarding experience for new hires located in the United States. This role supports HR operations, coordinates cross-functional onboarding activities, ensures compliance with US employment requirements, and serves as the primary point of contact for new employees throughout their onboarding journey. The position is based in Chennai and requires flexibility to work US time zones as needed.

Key Responsibilities

  • Manage end-to-end onboarding for US employees, including new hire documentation, background checks, I-9 verification (if applicable remotely), and compliance requirements.
  • Coordinate with US HR teams, hiring managers, IT, and payroll to ensure timely completion of onboarding tasks.
  • Prepare and send offer letters, onboarding packets, and welcome materials.
  • Ensure accurate collection and verification of new hire documents in accordance with US federal and state regulations.
  • Coordinate with third-party vendors for background checks, drug screening (if required), and E-Verify processes.
  • Serve as the first point of contact for new hires during their onboarding phase.
  • Work closely with Talent Acquisition, HR Business Partners, IT Support, Facilities, and Learning & Development teams.
  • Track onboarding progress and ensure task completion across multiple teams.
  • Provide updates to hiring managers and stakeholders regarding onboarding milestones.
  • Maintain onboarding trackers, SLA dashboards, and weekly reports.
  • Identify process gaps and recommend improvements for enhancing the US onboarding experience.
  • Ensure documentation accuracy and support audits related to onboarding.

Required Skills & Qualifications

  • Bachelors degree in HR, Business Administration, or related field.
  • 0 -5 years of experience in US HR operations or US onboarding processes.
  • Strong understanding of US employment documentation (W-4, I-9, E-Verify, state tax forms).
  • Excellent communication skills (written & verbal) with ability to work across time zones.
  • Strong organizational skills with the ability to manage multiple onboarding cases simultaneously.
  • Experience in handling confidential information with a high level of professionalism.
