Job Summary:

We are seeking a detail-oriented and proactive Accounting Executive to manage and

oversee daily financial and administrative tasks. The ideal candidate will have strong

experience with QuickBooks Online, accounts receivable/payable, invoicing through TMS

and factoring portal, and be skilled in logistics-related financial documentation. This role

demands excellent communication skills, both written and verbal, and proficiency in

Microsoft Office tools including Excel, Word, and PowerPoint.


Key Responsibilities:

 Maintain accurate financial records using QuickBooks Online, including Profit & Loss

statements and Balance Sheets.

 Generate and process invoices through Transportation Management Systems (TMS)

and the OTR Factoring Portal, ensuring proper integration with QBO.

 Manage Accounts Receivable (AR) and Accounts Payable (AP), ensuring timely

collections and payments.

 Handle and organize logistics paperwork, including Bills of Lading, Proof of Delivery,

rate confirmations, etc.

 Create and maintain spreadsheets, reports, and presentations using Excel, Word,

and PowerPoint.

 Communicate professionally with customers and vendors regarding invoicing,

payment status, and documentation requirements.


 Prepare and share financial reports and dashboards for internal and external

stakeholders.

 Assist with month-end and year-end closing processes.

 Ensure compliance with internal controls and company policies.


Qualifications:

 Bachelor’s degree in Accounting, Finance, or a related field.

 2+ years of accounting experience, preferably in a logistics or transportation

environment.

 Proficient in QuickBooks Online, including report generation.

 Experience with TMS platforms and OTR Factoring Portals is a must.

 Solid understanding of AR & AP processes.

 Strong working knowledge of Microsoft Excel, Word, and PowerPoint.

 Excellent verbal and written communication skills.

 Strong organizational skills and attention to detail.

 Ability to manage multiple tasks and meet tight deadlines.

 Experience working with logistics paperwork is a plus.


Preferred:

 Experience in the transportation or logistics industry.

 Familiarity with financial integrations between accounting software and operational

platforms.
