Tender Executive

Job Summary

We are looking for a detail-oriented and experienced Tender Executive to manage and execute government and private hospital tenders related to hospital sterilization and CSSD equipment. The role involves end-to-end tender handling, compliance management, coordination with hospitals, OEMs, and internal teams to ensure successful bid submission and order conversion.

Key Responsibilities

• Identify and monitor government and private hospital tenders through portals such as GeM, CPPP, State Health Departments, PSUs, Medical Colleges, Trust Hospitals, etc.
• Handle tenders related to hospital sterilization and CSSD equipment, including:
• Autoclaves (Steam Sterilizers)
• ETO Sterilizers
• Plasma Sterilizers
• CSSD Equipment
• Washer Disinfectors and Ultrasonic Cleaners
• Perform technical and commercial analysis of tender documents, BOQs, and eligibility criteria.
• Prepare and compile technical bids and price bids, including:
• OEM authorizations and certificates
• Product brochures and datasheets
• Compliance statements and deviation sheets
• BOQs and costing sheets
• Manage GeM portal activities, including product listing, bid participation, and reverse auction handling.
• Draft and submit pre-bid queries and attend pre-bid meetings (online/offline) as required.
• Coordinate documentation related to EMD, PBG, BG, tender fees, and applicable exemption certificates.
• Liaise with hospital biomedical, purchase, and engineering departments for clarifications and tender-related communication.
• Coordinate with OEMs, suppliers, and service partners to collect and validate technical and commercial documentation.
• Ensure accurate and timely tender submission (online and physical) in compliance with defined timelines.
• Handle post-bid follow-ups, respond to clarifications, and support order finalization.
• Ensure smooth handover of awarded tenders to execution, installation, and service teams.

Technical Knowledge Required

• Basic understanding of hospital sterilization standards and CSSD workflows.
• Ability to interpret product specifications and ensure technical compliance.
• Knowledge of NABH, ISO, CE, FDA certifications and regulatory documentation.
• Understanding of AMC, CMC, warranty, and service-level clauses.

Key Skills & Competencies

• Strong expertise in medical and hospital equipment tendering.
• Hands-on experience with GeM and government e-procurement portals.
• Excellent documentation, compliance, and coordination skills.
• Strong communication skills for interaction with hospital authorities and internal teams.
• Proficiency in MS Word, Excel (BOQs, costing, analysis), and PDF documentation.
• Ability to manage multiple tenders simultaneously under tight deadlines.

Preferred Experience

• Prior experience with medical device or hospital equipment companies.
• Proven experience handling CSSD and sterilization equipment tenders.
• Exposure to tenders from Government Hospitals, ESIC, AIIMS, Medical Colleges, and similar institutions.

Education

• Bachelor’s degree in Engineering / Science / Commerce / Management (preferred).

Pay: ₹20,000.00 - ₹30,000.00 per month
