Job Description

Role Purpose

  • Maintain positive and stable relations with workmen, union representatives, and plant management
  • Act as the primary point of contact for all workmen, union-related matters at the plant
  • Handle grievances, disciplinary matters, and disputes in a fair and timely manner
  • Support wage negotiations, settlements, and agreements in consultation with management
  • Ensure peaceful operations by proactively addressing IR issues

2. Statutory Compliance & Labour Laws

  • Ensure full compliance with all applicable labour laws and statutory requirements
  • Manage plant-related licenses and registrations, including Factory License and renewals
  • Ensure compliance related to statutory compensation such as PF, ESI, Gratuity, Bonus, Leave encashment, and other applicable benefits
  • Handle inspections, audits, and interactions with labour authorities (PF, ESI, FactoryInspectorate, Labour Department, etc)
  • Maintain statutory registers, records, and timely filing of returns
  • Coordinate with internal teams and vendors to ensure accurate and timely statutory payments.
  • Keep management informed of any changes in labour laws impacting the plant.

3. Time, Attendance & Payroll Coordination

  • Oversee time and attendance systems for all plant employees, staff, and contract workers
  • Ensure accurate capture and validation of attendance, shifts, overtime, and leave data
  • Ensure attendance data is accurately shared for payroll and statutory processing
  • Coordinate with payroll teams/vendors to ensure timely and error-free salary processing
  • Address employee queries related to attendance, wages, deductions, and statutory benefits.

4. Contract Labour Management

  • Ensure compliance with Contract Labour laws and related documentation
  • Coordinate with contractors to ensure adherence to statutory norms and plant policies
  • Monitor contractor attendance, wages, and statutory submissions.

5. Administration & Vendor Management

  • Manage plant administration services including housekeeping, transportation, and canteen
  • Handle contracts and performance of administration vendors
  • Ensure service quality, cost control, and smooth daily operations.

Key Skills & Experience

  • Strong understanding of Industrial Relations and labour laws
  • Experience in handling unions and plant-level IR activities
  • Working knowledge of statutory compliances, licenses, and inspections
  • Practical experience in time office, attendance, and payroll coordination
  • Good communication skills with the ability to handle sensitive situations calmly.

Educational Qualification

Graduate/Post Graduate in HR, Industrial Relations, Labour Welfare, or a related field.
