Job Description

Role Overview

Responsible for managing and supporting all administrative and accounting activities at the railway project site. The role ensures seamless coordination with the Head Office and strict adherence to company policies and statutory requirements.

Key Responsibilities

  • Site Administration
Oversee day-to-day site administrative functions to ensure smooth project execution.
Maintain daily attendance records, manpower deployment sheets, and movement registers for engineers, staff, and laborers.Manage site logistics, including accommodation, transportation, and material-handling arrangements.Coordinate procurement and maintain stock levels of site consumables, PPE kits, tools, and office essentials.Maintain the site asset register and conduct periodic physical verification of project equipment and vehicles.Liaise with local authorities, vendors, and labor contractors to obtain necessary permissions and ensure statutory compliance.
  • Site Accounts & Finance
Maintain the daily cash book, manage petty cash, and ensure proper documentation and filing of all vouchers.
Process vendor and supplier bills, coordinating with the project team to confirm material receipt and work completion.Prepare contractor RA bill summaries and submit all required documentation to the Head Office for payment processing.Accurately record TDS, GST inputs, and other statutory deductions in compliance with relevant regulations.Prepare and submit monthly expenditure statements, budget forecasts, and other site-level MIS reports.Support internal and external audits by providing all necessary accounts data and supporting documents.
  • Coordination & Reporting
Serve as the key point of contact between the site and Head Office accounts/administration departments.Share weekly and monthly reports covering site expenses, labor deployment, vehicle usage, and other operational metrics.Monitor budget utilization relative to project progress and promptly highlight variances or potential overruns.Maintain organized records of project correspondence, vendor agreements, labor licenses, and statutory registers.

Qualifications

Bachelor’s degree in Commerce, Business Administration, or a related field.Certification in Tally, ERP, or other accounting software is preferred.

Experience

Minimum 2+ years of experience in a similar site-based admin/accounts role, ideally within railway or infrastructure projects.
