Position Summary
We are seeking a detail-oriented and proactive Shipping Manager to lead logistics, artwork handling, inventory management, and exhibition-related operations. This role is key to ensuring the safe, timely, and professional handling of artworks both nationally and internationally. The ideal candidate brings operational excellence, strong vendor coordination skills, and a passion for supporting artists and exhibitions behind the scenes.
Key Responsibilities Areas
1. Logistics & Artwork Movement
● Coordinate the national and international shipping of artworks, including documentation, customs clearance, and insurance.
● Liaise with transporters, courier services, and customs agents to ensure timely and secure transportation.
● Maintain detailed records (e.g., Google Sheets) of all shipments, tracking movements and updating condition reports before and after transit or exhibitions.
● Accompany high-value or sensitive shipments when necessary to ensure proper handling.
2. Inventory & Warehouse Management
● Maintain an accurate, up-to-date inventory of artworks in the gallery database.
● Ensure all artworks are labelled/barcoded and stored per conservation standards.
● Track all movement in and out of the warehouse, updating inventory logs and condition documentation.
● Oversee physical storage spaces to ensure safety, cleanliness, and ease of access.
3. Exhibition Support & Installations
● Support planning and execution of gallery installations, working closely with artists, curators, and technical teams.
● Assist with layout, lighting, mountings, and transport logistics for set-up and dismantling.
● Coordinate fabrication or sourcing of display materials such as plinths, mounts, and frames.
● Ensure repair and maintenance schedules for gallery equipment and exhibition infrastructure.
4. Vendor & Material Management
● Identify, onboard, and manage vendors for services like framing, packing, shipping, printing and fabrication.
● Negotiate rates and timelines while ensuring quality and reliability.
● Track inventory of packing materials daily/weekly and report usage to management.
● Procure office and gallery supplies required for smooth operations.
Goals of the role:
● Increasing efficiency and timelines of operations
● Optimizing costs
● Daily, weekly and monthly MIS
● Monthly vendor invoicing & tracking
Ideal Candidate Profile:
● Graduate degree in Arts, Business, Logistics, or a related field.
● 2–5 years of relevant experience in logistics or operations, ideally within a gallery, museum, or cultural institution.
● Strong organizational, planning, and problem-solving skills.
