Senior Tender Executive – HVAC & Electrical Works

Position Overview:

The Senior Tender Executive will be responsible for identifying, preparing, and managing bids for HVAC (Heating, Ventilation & Air Conditioning) and Electrical works under CPPP (Central Public Procurement Portal), GeM (Government e-Marketplace), and other state/national e-tendering platforms.

The role requires expertise in tender documentation, cost estimation, compliance management, and coordination with internal technical and commercial teams to ensure timely and competitive bid submission.

Key Responsibilities:

1. Tender Identification & Tracking

Regularly monitor CPPP, GeM, Eprocure, and other government tender portals for relevant HVAC and Electrical tenders.

Maintain and update a tender tracking sheet with submission deadlines, eligibility criteria, and bid status.

2. Tender Evaluation & Documentation

Study tender documents (NIT, BOQ, GCC, SCC, Technical Specifications, Drawings, etc.) to understand scope and requirements.

Prepare pre-qualification documents, vendor registrations, and compliance checklists.

Identify commercial and technical risks, clarifications, and deviations.

Coordinate with internal design, estimation, and project teams for technical inputs and cost data.

3. Cost Estimation & Bid Preparation

Coordinate with suppliers/subcontractors for HVAC and electrical materials and service quotations.

Assist in preparing cost sheets, BOQs, and price bids as per tender format.

Support management in formulating competitive pricing and value engineering proposals.

4. E-Tendering & Submission

Handle online tender uploads on CPPP, GeM, and state portals, ensuring all documents are in the required format (PDF, XLS, etc.).

Manage digital signature certificates (DSC) and online bid submissions before deadlines.

Ensure technical and financial bids are correctly uploaded and acknowledged.

5. Post-Bid Activities

Follow up on tender results, attend pre-bid/post-bid meetings, and coordinate for technical clarifications.

Prepare tender comparison and analysis reports for management review.

Support contract award documentation and handover to the project execution team.

6. Vendor & Client Coordination

Liaise with government departments, PSUs, consultants, and vendors for tender-related queries.

Build and maintain relationships with key procurement officials and clients.

Required Qualifications & Experience:

Education: Diploma / B.Tech / B.E. in Electrical / Mechanical Engineering or related field.

Experience: 5–10 years in tendering and estimation for HVAC & Electrical projects, preferably in government sector bids.

MS Office (Excel, Word, PowerPoint)

E-tendering portals (CPPP, GeM, Eprocure, etc.)

AutoCAD (basic understanding for technical drawings preferred)

Key Competencies:

Strong understanding of HVAC and Electrical systems.

In-depth knowledge of CPPP / GeM e-tendering procedures.

Attention to detail and document management.

Good analytical, negotiation, and communication skills.

Ability to handle multiple tenders simultaneously under tight deadlines.

Pay: ₹25,510.01 - ₹40,961.64 per month
