**Job Title:** MICE and Tourism Operations Executive

We are looking for a skilled MICE and Tourism Operations Executive who is adept at handling operations, managing documentation and visa formalities, preparing detailed costings, and coordinating with Destination Management Companies (DMCs).
**Role Overview:**
The MICE and Tourism Operations Executive will be responsible for overseeing the end-to-end operations for both domestic and international MICE and tourism activities. This role requires expertise in cost management, client servicing, visa processing, group escorting, DMC finalization, negotiation, and comprehensive documentation handling. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
**Key Responsibilities:**
1. **Operations Management:**
- Manage all aspects of MICE and tourism operations, including event planning, travel arrangements, accommodations, and on-site logistics for both domestic and international groups.
- Coordinate with suppliers, venues, and service providers to ensure seamless execution of events and travel plans.
- Escort groups on domestic and international tours to ensure smooth operations and address any issues in real-time.
- Monitor project budgets and expenditures, ensuring all activities are cost-effective and within the allocated budget.
2. **Domestic and International Costing:**
- Prepare detailed costings for both domestic and international travel packages, including flights, accommodations, transportation, meals, and activities.
- Analyze costs and negotiate with suppliers and vendors to secure the best possible rates while maintaining quality standards.
- Develop customized quotations and proposals that align with client needs and budget constraints.
3. **DMC Finalization and Negotiation:**
- Identify and finalize partnerships with Destination Management Companies (DMCs) for various destinations.
- Negotiate contracts and agreements with DMCs, suppliers, and other service providers to ensure competitive pricing and favorable terms.
- Maintain strong relationships with DMCs to facilitate smooth coordination and delivery of services.
4. **Visa Processing and Documentation:**
- Manage visa application processes for clients, ensuring all required documents are accurate and submitted on time.
- Coordinate with embassies and consulates to expedite visa approvals and address any issues.
- Prepare and manage all necessary travel documentation, including itineraries, travel vouchers, confirmations, and emergency contact lists.
5. **Client Relationship Management:**
- Serve as the primary point of contact for clients, providing exceptional customer service and addressing all queries and concerns.
- Build and maintain strong relationships with clients, ensuring a high level of satisfaction and repeat business.
- Conduct follow-ups with clients post-travel or post-event to gather feedback and identify areas for improvement.
6. **Coordination with Internal Teams:**
- Work closely with the sales, marketing, and finance teams to align on client needs, pricing strategies, and promotional activities.
- Provide regular updates on project status, budgets, and any potential issues to the management team.
7. **Compliance and Risk Management:**
- Ensure all operations are compliant with local and international regulations and company policies.
- Identify potential risks associated with travel and events and develop contingency plans to mitigate these risks.
**Qualifications:**
- Bachelor’s degree in Tourism, Hospitality, Business Administration, or a related field.
- 3-5 years of experience in MICE operations, tourism, or a related field.
- Strong knowledge of domestic and international travel logistics, visa processing, and documentation.
- Proven experience in cost management, vendor negotiation, and DMC coordination.
- Excellent organizational and multitasking skills with a strong attention to detail.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and travel management software.
- Strong communication and interpersonal skills.
- Willingness to travel domestically and internationally as required.
