Job Purpose
The Senior Manager of Administration plays a crucial role in overseeing and managing administrative functions within the organization. They are responsible for ensuring efficient operation of various administrative processes, facilities management, vendor relations, and staff supervision. This role requires strong leadership, organizational skills, and the ability to collaborate with various departments to support the overall goals of the organization.
Roles & Responsibilities
Administration Oversight:
- Develop and implement administrative policies, procedures, and systems to ensure smooth operation of the organization.
- Oversee day-to-day administrative tasks including office management, mail distribution, facilities maintenance, and supplies inventory.
Facilities & Operations Management
- Manage facilities administration for office and factory locations.
- Oversee building maintenance, infrastructure upkeep, and repair activities.
- Plan and execute preventive and seasonal maintenance schedules.
Housekeeping, Security & Safety
- Supervise housekeeping staff and ensure cleanliness and hygiene standards.
- Manage security operations, access control, and safety protocols.
- Oversee fire safety systems, conduct fire drills, and ensure statutory compliance.
Canteen & Fleet Management
- Monitor canteen operations, hygiene standards, and cost control.
- Oversee fleet management including company vehicles, drivers, and transportation logistics.
Factory Compliance & Administrative Operations
- Ensure adherence to factory laws, compliance norms, and regulatory requirements.
- Coordinate factory inspections, documentation, and statutory audits.
Audit, Compliance & Legal Coordination
- Support internal and external audits across admin functions.
- Ensure compliance with legal, statutory, and company policies.
- Maintain documentation related to audits, licenses, and certifications.
Vendor & Contract Management
- Manage vendors, service providers, and vendor performance
- Negotiate contracts and ensure adherence to service level agreements (SLAs).
- Oversee contracts for housekeeping, security, pest control, canteen, and facility services.
Budget & Cost Management
- Prepare and monitor the admin budget.
- Implement cost-saving initiatives and ensure operational efficiency.
Asset & Inventory Management
- Manage company assets, asset tagging, maintenance tracking, and disposal.
- Oversee admin inventory including office supplies and consumables.
Travel Desk Management
- Supervise travel desk operations including bookings and vendor coordination.
- Ensure travel policy compliance and cost optimization.
Event Coordination
- Plan and manage corporate events, employee engagement programs, and visitor management activities.
Team Handling & Leadership
- Lead the administration team across multiple locations and functions.
- Provide training, guidance, and performance management.
Cross-Functional Collaboration
- Partner with HR, Finance, Operations, EHS, and other teams for administrative support.
Continuous Improvement
- Drive process improvements to enhance facility operations and administrative efficiency.
- Implement best practices and automation tools where applicable.
Education and Experience
- Bachelor's degree in Business Administration, Management, or related field; Master's degree preferred.
- Proven experience in administrative management, with at least [10 years] in a senior leadership role.
- Strong leadership and people management skills, with the ability to motivate and inspire teams.
- Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
- Solid understanding of facilities management principles, including health and safety regulations.
- Demonstrated ability to manage budgets, negotiate contracts, and drive cost-saving initiatives.
- Strong analytical and problem-solving skills, with a focus on continuous improvement.
- Ability to prioritize tasks, handle multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Certification in facilities management or related field is a plus.
