Role Overview
The Sales Virtual Assistant (Sales VA) will support insurance agencies by managing outbound calling, lead qualification, winbacks, cross-selling, and client engagement to maximize conversions and retention.
Key Responsibilities
Lead Generation & Prospecting
- Make a high volume of daily outbound calls to new leads.
- Qualify prospects by gathering required information and confirming interest.
- Complete quotes in Apex based on agency process before handoff.
- Schedule appointments or live-transfer qualified leads to licensed insurance agents.
- Maintain detailed lead notes in the CRM/AMS.
Winbacks & Retention
- Contact past clients with canceled or lapsed policies to re-engage them.
- Present updated quotes, discounts, and new product offerings.
- Proactively reach out to at-risk clients to prevent cancellations.
- Build rapport and communicate value to retain or win back customers.
Cross-Selling & Upselling
- Identify opportunities for additional insurance lines (Auto, Home, Life, Renters, Umbrella, Business, etc.).
- Call existing clients to upsell or cross-sell relevant policies.
- Educate clients on bundled discounts and added-value services.
- Track and report cross-sell outcomes.
Driving New Business
- Execute outbound calling campaigns to generate new sales opportunities.
- Send follow-up emails/texts post initial contact.
- Manage lead pipelines and perform timely follow-ups for maximum conversion.
- Achieve daily/weekly goals for quotes generated, appointments set, and transfers.
Client Relationship Management
- Provide high-quality customer service to build trust and strengthen engagement.
- Accurately document all call outcomes, quotes, and follow-ups in CRM/AMS.
- Maintain an organized workflow for lead management, winbacks, and cross-selling.
- Support licensed agents by preparing quote summaries and paperwork.
Performance & Reporting
- Meet or exceed daily call, quote, transfer, and appointment targets.
- Track weekly performance metrics: leads contacted, quotes completed, transfers, winbacks, and cross-sell conversions.
- Collaborate with leadership to refine scripts, objection handling, and call flow.
Must-Have Skills & Qualifications
- 2+ years of experience in high-volume outbound calling/telemarketing.
- Strong proficiency with CRM/AMS tools for documentation and pipeline tracking.
- Proven track record of meeting/exceeding sales activity targets.
- Excellent phone communication skills with the ability to build quick rapport.
- Experience in US Insurance (P&C or Life) is strongly preferred.
- Must have prior US process experience.
