Purchase Executive

Job Description Position: Purchase Executive – Raw Material Department: Purchase Reporting To: Purchase Manager / Operations Head / Plant Head Location: Oachghat, Solan Himachal Pradesh Job Summary The Purchase Executive – Raw Material is responsible for timely procurement of raw materials required for production, ensuring optimal cost, quality, and delivery schedules. The role involves vendor management, negotiation, coordination with production and stores, and maintaining purchase documentation in compliance with company policies. Key Responsibilities Raw Material Procurement Procure raw materials as per production plans and approved purchase requisitions. Ensure uninterrupted supply of raw materials to support production schedules. Vendor Management Identify, evaluate, and develop reliable vendors/suppliers. Maintain vendor database with pricing, lead time, and quality records. Coordinate with vendors for quotations, samples, and delivery schedules. Cost & Negotiation Obtain competitive quotations and negotiate prices, payment terms, and delivery timelines. Ensure cost-effective purchasing without compromising on quality. Purchase Order Management Prepare and issue Purchase Orders (POs) as per approvals. Track PO status and follow up with suppliers for timely delivery. Quality & Compliance Coordinate with QA/QC for raw material specifications and approvals. Ensure materials received meet quality standards and specifications. Inventory Coordination Coordinate with stores and production teams for stock levels. Monitor minimum, maximum, and reorder levels of raw materials. Documentation & Records Maintain purchase records, invoices, GRNs, and supplier documents. Support audits by providing required purchase-related documentation. Interdepartmental Coordination Work closely with Production, Stores, Accounts, and Quality departments. Resolve material shortages, delivery delays, and quality issues. Key Performance Indicators (KPIs) Timely availability of raw materials Cost savings through negotiation Vendor delivery performance Reduction in production downtime due to material shortages Accuracy in purchase documentation Qualifications & Skills Education: Bachelor’s degree in Commerce, Supply Chain, Materials Management, or related field Experience: 0–2 years of experience in raw material purchasing (manufacturing/chemical/industrial preferred) Skills Required: Strong negotiation and vendor management skills Knowledge of procurement processes and inventory control Proficiency in MS Excel, ERP/SAP (preferred) Good communication and coordination skills Ability to work under pressure and meet deadlines Preferred Industry Exposure Manufacturing / Chemical / FMCG / Industrial Plants
