Job description:

The Purchasing Executive will be responsible for overseeing the procurement of raw materials, components, and supplies necessary for the manufacturing of Uninterruptible Power Supply (UPS) systems and battery products. This role requires a keen understanding of the manufacturing industry, effective vendor management, inventory control, and cost optimization. The ideal candidate will be able to collaborate cross-functionally with other departments, including production, quality control, and logistics, to ensure timely and cost-effective sourcing of materials.

Key Responsibilities:

  • Procurement of Goods and Services:
  • Source, select, and negotiate with suppliers for the purchase of materials, equipment, and services required by various departments.
  • Issue purchase orders (POs) based on requisitions received from internal teams.
  • Ensure goods and services meet quality standards, and delivery is on time.
  • Supplier Relationship Management:
  • Establish and maintain strong relationships with suppliers and vendors.
  • Monitor supplier performance and resolve any issues related to quality, delivery, or pricing.
  • Evaluate and select suppliers based on price, quality, service, and delivery capabilities.
  • Inventory Management:
  • Ensure optimal inventory levels are maintained to meet production or operational needs.
  • Track inventory usage and adjust purchasing levels accordingly to prevent shortages or overstock.
  • Cost Control and Budget Management:
  • Negotiate pricing and payment terms with suppliers to secure favorable terms for the company.
  • Assist in the development and management of the department’s purchasing budget.
  • Identify cost-saving opportunities and implement cost-control measures without compromising quality.
  • Compliance and Documentation:
  • Ensure all procurement activities comply with company policies, industry regulations, and legal requirements.
  • Maintain accurate records of all purchasing transactions, contracts, and supplier correspondence.
  • Prepare reports on procurement activities, including cost analysis, supplier performance, and inventory status.
  • Market Research and Supplier Evaluation:
  • Conduct market research to identify new suppliers, products, and market trends.
  • Regularly review and assess supplier performance based on defined key performance indicators (KPIs).
  • Cross-functional Collaboration:
  • Work closely with internal departments such as Finance, Production, and Operations to ensure alignment between purchasing and operational requirements.
  • Assist in resolving any supply chain or procurement-related issues.

Skills and Qualifications:

  • Experience: Proven experience in procurement or purchasing (typically 2+ years).
  • Skills:
  • Strong negotiation and communication skills.
  • Analytical and problem-solving abilities.
  • Attention to detail and organizational skills.
  • Knowledge of market trends and suppliers.
