Our partnership with PSI (now Talogy) and DOOR International helps us expand our horizons across the globe; USA, UK, EMEA, APAC, Middle East (in over 50 countries) Job Summary: The Executive Assistant (EA) to the Managing Director (MD) provides high-level administrative support, ensuring efficient operation and coordination of the MD’s activities. The EA manages schedules, communications, and various administrative tasks, acting as a liaison between the MD and internal/external stakeholders. Flexibility to work outside regular business hours when necessary. Key Responsibilities: Administrative Support: Manage and maintain the MD’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, reports, presentations, and other documents as needed. Handle confidential information with discretion and professionalism. Communication Management: Screen and prioritize emails, phone calls, and other communications. Draft and proofread communications on behalf of the MD. Coordinate communication between the MD and other executives, employees, and external parties. Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Attend meetings, take notes, and ensure follow-up on action items. Project Management: Assist in the planning and execution of special projects. Track progress and deadlines, ensuring timely completion of tasks. Travel Arrangements: Plan and coordinate domestic and international travel itineraries. Handle travel-related logistics, including transportation, accommodations, and expense reports. Event Planning: Assist in planning and organizing company events, meetings, and conferences. Manage event logistics and liaise with vendors and service providers. Required Skills: Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and as part of a team. Strong problem-solving skills and attention to detail. High level of discretion and confidentiality.
