Role Overview

detail-oriented Operations Associate


Key Responsibilities


Finance & Accounting

  • Send invoices to customers and follow up on accounts receivable.
  • Manage accounts payable follow-ups and vendor payments.
  • Run

    QuickBooks Online payroll

    .
  • Reconcile bank statements and verify bank charges.
  • Identify and cancel unwanted subscriptions.

HR & Compliance

  • Collect employee timesheets, I-9s, W-9s, and other compliance documents.
  • Work with insurance agents to maintain company insurance (WC, GL, E&O).
  • Ensure all required insurance and compliance documentation is up to date.

Recruitment Operations

  • Conduct daily stand-up calls with LATAM and India recruiting teams.
  • Prioritize job openings and allocate resources.
  • Create MSAs (Master Service Agreements) and POs for new hires and supplier partnerships.

Business Development & Marketing

  • Reach out to new clients and respond to new client inquiries.
  • Support preparation of proposals, MSAs, and POs for clients.
  • Co-create business brochures and social media content.
  • Assist with advertising campaigns on social media platforms.

Coordination & Stakeholder Management

  • Liaise with CPA for bookkeeping, tax filings, and compliance.
  • Collaborate with internal and external stakeholders (vendors, suppliers, recruiters, clients).
  • Support CEO with administrative and operational tasks as required.

Qualifications

  • Bachelor’s degree in

    Business Administration, Accounting, Finance, HR, or related field

    .
  • 3–5 years of experience in

    operations, finance, HR coordination, or executive support

    .
  • Proficiency with

    QuickBooks Online

    and MS Office (Excel, Word, PowerPoint).
  • Experience handling

    invoices, payroll, and bank reconciliations

    .
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills in English.
  • Comfortable working in

    PST time zone

    .

Preferred Skills

  • Experience in

    IT staffing/consulting environment

    .
  • Knowledge of U.S. compliance documents (I-9, W-9, insurance certificates).
  • Familiarity with

    social media marketing tools

    .
  • Prior exposure to working with

    cross-border teams

    (India, LATAM, U.S.).
