The role is responsible for executing the day-to-day administrative operations at project and sales sites, ensuring seamless facility management, compliance adherence, and customer service. Reporting to the Incharge – Admin (Project/Sales), this role involves coordinating housekeeping, security, infrastructure upkeep, vendor management, and statutory compliance while maintaining accurate records and reports for smooth site operations.Responsibilities
Project Admin Executive
Daily Site Administration & Facility Maintenance
Ensure site upkeep, hygiene, and infrastructure maintenance, conducting daily checks for cleanliness, security, and operational efficiency.Supervise housekeeping, security personnel, and maintenance teams to ensure service quality as per SLAs.Monitor electricity, water supply, HVAC, and fire safety equipment for proper functioning, reporting issues for resolution.Maintain inventory of office and housekeeping supplies, ensuring timely procurement and zero wastage.Vendor & Compliance Management
Assist in managing vendor contracts and service deliveries, ensuring timely execution of maintenance and facility services.Track and maintain property tax payments, labour compliance documentation, and fire safety reports.Ensure adherence to ESIC and labour laws, coordinating with HR and local authorities for statutory compliance.Customer & Stakeholder Coordination
Support the sales and customer experience teams by ensuring a well-maintained and welcoming site for client visits.Address customer and visitor concerns related to site facilities, escalating major issues to the Incharge – Admin (Project/Sales).Facilitate smooth local authority interactions, supporting approvals, permits, and inspections.Reporting & Operational Support
Maintain daily logs of site performance, visitor counts, and maintenance activities.Generate weekly reports on vendor performance, compliance adherence, and asset maintenance.Assist in budget tracking, ensuring administrative expenses remain within planned allocations.Propose process improvements to enhance efficiency and service delivery at the site.Key Stakeholders - Internal

Educational Qualification:
B.Tech / B.E. in Civil, Electrical, or related field or Bachelor’s in Hospitality Management.Work Experience (Range Of Years)
4-6 YearsPreferred Industry
Experience in site administration, facility management, or real estate administration. Strong understanding of local regulatory requirements, labour compliance, property tax, and fire safety norms.
