Office Coordinator


Key Responsibilities

1. Front Office & Communication Management

  • Manage appointment scheduling and internal communication.
  • Handle incoming calls, correspondence, and office-related messages.
  • Maintain a tidy, professional office environment.

2. Administrative Operations

  • Manage office supplies, stationery, and vendor coordination.
  • Oversee office upkeep, maintenance, and service requests.
  • Handle documentation, filing, and courier dispatch tracking.

3. Management & Executive Support

  • Manage management calendars and meeting coordination.
  • Prepare meeting notes, follow-ups, and action trackers.
  • Assist in travel bookings, reimbursements, and internal communication.
  • Maintain confidentiality in executive and HR matters.

4. HR & Employee Coordination (Basic Support)

  • Maintain attendance and leave records.
  • Assist in onboarding new employees and workspace setup.
  • Coordinate internal events, celebrations, and notices.

5. Reporting & Record-Keeping

  • Maintain expense, reimbursement, and vendor payment logs.
  • Track renewals, contracts, and official documentation.
  • Share weekly operational summaries with management.

6. Coordination Across Teams

  • Serve as the link between management, HR, and operational staff.
  • Track pending tasks and ensure smooth day-to-day coordination.



Requirements

  • Bachelor’s degree preferred (any discipline).
  • 1–3 years of experience in

    office administration, coordination, or executive support

    .
  • Strong organizational and multitasking skills.
  • Excellent communication and presentation skills.
  • Proficiency in

    MS Office / Google Workspace

    .
  • Professional, reliable, and discreet in managing confidential matters.
