Job Description

Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will possess strong administrative skills and have a proven track record in office management. This role is crucial for ensuring the smooth operation of our office, supporting various functions including human resources, bookkeeping, and vendor management. The Office Administrator will be responsible for overseeing daily office activities, managing schedules, and facilitating effective communication within the team.

Duties

  • Manage office operations including clerical tasks, filing, and front desk responsibilities.
  • Oversee event planning and coordination to ensure successful execution of company events.
  • Supervise office staff and provide training & development opportunities to enhance team performance.
  • Utilize QuickBooks for bookkeeping and payroll processing, ensuring accurate financial records.
  • Handle schedule management and calendar coordination for team members.
  • Maintain vendor relationships and manage procurement of office supplies and services.
  • Implement effective communication strategies to foster a collaborative work environment.
  • Assist with budgeting processes to ensure financial efficiency within the office.
  • Provide support in human resources functions, including recruitment and onboarding of new employees.
  • Operate multi-line phone systems with professionalism and excellent phone etiquette.

Experience

  • Proven experience in an administrative role with a strong emphasis on office management.
  • Familiarity with medical office management is a plus but not required.
  • Demonstrated skills in organizational tasks, event planning, and team management.
  • Proficiency in QuickBooks or similar accounting software is preferred.
  • Strong communication skills with the ability to interact effectively at all levels of the organization.
  • Experience in managing schedules, vendor relationships, and payroll processes is highly desirable.
