Ocean Export Documentation Executive


Job Summary:

We are seeking a motivated and detail-oriented Ocean Export Documentation specialist with 2+ years of relevant experience in the freight forwarding industry. The ideal candidate will be responsible for handling end-to-end export documentation, liaising with shipping lines, coordinating with clients, and ensuring smooth execution of export shipments by sea.


Key Responsibilities:

* Prepare and verify export documentation, including shipping bills, bills of lading (MBL/HBL), invoices, and packing lists.

* Coordinate with CHA, shipping lines, transporters, and internal departments for shipment execution.

* Ensure timely booking with shipping lines, follow up for SI (Shipping Instruction) submission, and draft BL approvals.

* Maintain constant communication with clients regarding shipment status, documentation requirements, and issue resolution.

* Handle pre-shipment and post-shipment documentation, ensuring compliance with international trade laws and regulations.

* Update internal systems (ERP/TMS) and trackers for shipment and documentation status.

* Ensure all documents are accurately prepared and shared on time to avoid shipment delays.

* Resolve customer queries related to documentation, sailing schedules, and shipment updates.

* Assist in freight negotiation and rate filing, if required.

* Maintain proper filing of physical and digital records for audit and reference purposes.


Key Skills & Competencies:

* Strong knowledge of Sea Export Documentation processes.

* Familiarity with Incoterms, shipping line procedures, and customs formalities.

* Good written and verbal communication skills.

* Proficient in MS Office (Excel, Word) and industry-specific software (CargoWise, Logisuite, etc.—if applicable).

* Detail-oriented, organized, and able to multitask.

* Ability to work under pressure and meet deadlines.


Qualifications:

* Graduate in Commerce / Logistics / International Business or related field.

* Minimum 2 years of experience in Sea Export documentation in a Freight Forwarding company.


Preferred:

* Candidates prior experience handling FCL & LCL shipments.

* Prior interaction with shipping lines like Maersk, MSC, Hapag Lloyd, etc.


Salary: Up to Rs. 32K Per Month
