Prepare and submit Shipping Instructions (SI) to the carrier as per booking details and cargo readiness. Submit Verified Gross Mass (VGM) to the carrier within the prescribed cut-off time. Follow up with carriers for timely receipt of freight invoices and ensure accuracy. Account carrier invoices into the internal system and follow up with the accounts/finance team for timely payment confirmation . Prepare, verify, and release Master Bill of Lading (MBL) and House Bill of Lading (HBL) , ensuring all details match customer and regulatory requirements. Raise invoices to customers and follow up for any outstanding payments (O/S) . Send pre-alerts to customers/overseas agents with all required shipment documents including draft BL, invoice, and packing list. Coordinate with internal teams (booking, operations, sales) and external stakeholders (customers, carriers, agents, CHA) for smooth documentation flow. Maintain accurate records and update documentation trackers/ERP systems in real-time. Handle BL amendments, switch BLs, and telex release formalities where necessary. Ensure timely document dispatch via email, courier, or upload to customer portals. key Skills & Competencies: In-depth understanding of export documentation procedures , Incoterms , and carrier compliance . Familiarity with major shipping lines (Maersk, MSC, Hapag Lloyd, etc.) and their documentation platforms (e.g., INTTRA, GT Nexus). Experience in submitting VGM , SI , and handling carrier communications . Proficiency in MS Office (Excel, Word) and freight forwarding software (e.g., Logisys, Cargowise). Strong coordination, attention to detail, and ability to manage multiple shipments simultaneously. Excellent communication skills written and verbal.
