About The Role

The Legal Admin (LA) team undertakes multiple processes that facilitate the smooth functioning of the global legal department. Responsibilities include collating information, analyzing content, executing processes, managing databases and documents, interacting with counterparties, and summarizing information in requested formats.Key Responsibilities
  • Entity Administration: Act as custodian of all entity-related information in the entity management database, ensuring real-time updates. Handle entity-related matters including formations, closures, and qualifications. Draft and edit standard legal documents when required.
  • Legal Billing: Manage the legal billing process across multiple global offices. Oversee processing of invoices, obtain approvals, monitor payment status, generate reports, reconcile invoices, and coordinate with Accounts Payable teams and law firms to ensure seamless payments.
  • Documentation & Reporting: Oversee compilation of legal memos, maintain legal events on SharePoint, and ensure timely updates. Create, update, and maintain entity structure organization charts on a quarterly basis. Track, prepare, and submit annual report filings and franchise tax filings across various jurisdictions.
  • Stakeholder Engagement: Respond to requests from global counterparties for due diligence, provide appropriate standard documentation, and negotiate disclosures. Handle confidential and time-sensitive information with accuracy.
  • Process Improvement & Projects: Become a subject matter expert in ownership and control structures, signatory authorities, and documentation protocols. Implement and execute new LA processes, manage projects end-to-end in collaboration with global legal teams.
  • People Management: Lead and mentor the LA team based in Hyderabad. Oversee workload distribution, delegate tasks fairly, manage project flow, and ensure timely execution of deliverables. Balance leadership responsibilities (approx. 30%) with hands-on execution (approx. 70%).
Who We’re Looking For
  • Education & Experience:
    • Graduate in Business Administration, Management, or a related field.
    • 5–10 years of experience in business operations, legal administration, or operations systems.
  • Core Skills:
    • Prior experience managing a team (minimum 3 members).
    • Strong communication and stakeholder management skills.
    • Experience handling multiple projects from conception to successful implementation.
    • Strong organizational, editing, proofreading, and project management skills with high attention to detail.
    • Ability to quickly learn and manage new processes, with a consistent delivery record in demanding environments.
    • Positive team player who practices fairness in delegation and supports team growth opportunities.
  • Additional Considerations:
    • Project management experience is an added advantage.
    • Candidates with relevant experience returning to work after a career break are encouraged to apply.
