Job Description

To coordinate and manage all activities related to the installation of modular kitchens, ensuring smooth communication between the client, factory, vendors, and internal departments while maintaining high standards of documentation and follow-up.

Key Responsibilities

  • Maintain a structured database of installation activities, including site reports, images, and documents organized by date and project site.
  • Communicate regularly with clients and architects regarding site activities: visit reports, minutes of meetings (MOM), handovers, and signed documents.
  • Maintain a record of installer machinery, tools, and hardware.
  • Create and update installation CRM sheets for both retail and B2B clients.
  • Generate MIS reports based on CRM data as per project or management requirements.
  • Compile and submit monthly travel allowance data for site supervisors and installers.
  • Send material dispatch notifications and track logistics coordination with relevant departments.
  • Arrange vendor technicians as per specific project needs or site requirements.
  • Manage data for defective or replacement accessories and coordinate with the factory for warranty claims.
  • Coordinate daily task planning with internal installation teams.
  • Liaise with departments to follow up on pending material arrivals from the factory.
  • Raise site complaints (e.g., damages, wrong products, shortages) with the QC department using proper formats.
  • Raise Purchase Requisitions (PR) for required materials and share with the procurement team.
  • Track materials required for second phase or add-on installations and coordinate delivery arrangements with dispatch.
  • Ensure collection and documentation of completion certificates and warranty cards at the time of project closure.
  • Follow up with clients and architects for any pending completion certificates after handover.
  • Draft and send formal communication to HO or concerned departments regarding delivery updates or pending issues.

Skills & Requirements

  • Minimum 1–3 years of experience in project coordination, preferably in modular furniture or kitchen industry.
  • Strong communication and follow-up skills with clients, vendors, and internal teams.
  • Proficiency in Excel, CRM tools, and email communication.
  • Ability to generate reports, maintain trackers, and manage documentation.
  • Problem-solving and coordination skills to handle on-site and backend issues.
  • Knowledge of kitchen or modular furniture installation process is an added advantage.
