Job Overview

We are seeking a proactive and detail-oriented HR & Admin Executive to manage human resources, operations, and administrative functions. This role requires strong coordination, documentation management, recruitment support, and vendor handling to ensure smooth business operations and employee engagement.

Key Responsibilities

  • HR & Attendance Management
  • Maintain employee attendance records in Zoho/Pagarbook.
  • Ensure accurate leave applications and approvals.
  • Track and enforce timely updates of daily/weekly task sheets.
  • Recruitment & Onboarding
  • Manage the end-to-end recruitment cycle (sourcing, screening, scheduling).
  • Coordinate interviews and communicate outcomes to candidates.
  • Handle pre-joining and joining formalities.
  • Employee Relations & Communication
  • Draft and circulate company notices, policies, and official communication.
  • Manage employee exit formalities (resignation, notice period, full & final settlement).
  • Support employee engagement activities (celebrations, events, welfare initiatives).
  • Operations & Administration
  • Coordinate with vendors (IT equipment rental, service providers, etc.).
  • Assist in compliance-related documentation (ID collection, FSSAI, statutory records).
  • Maintain operational trackers (assets, disbursements, etc.).
  • Finance & Payment Support
  • Verify employee salary disbursements and vendor payments.
  • Track reimbursements and escalate discrepancies.
  • Support reconciliations with the finance/accounts team.
  • Management Support
  • Act as a bridge between management and employees.
  • Provide timely updates and reports (attendance, recruitment, compliance).
  • Ensure adherence to company policies and procedures.
  • Tender Sourcing & Documentation
  • Source and evaluate company-relevant tenders using BidAssist and similar platforms.
  • Coordinate and compile necessary documentation for tender submissions.
  • Track the status of submitted tenders and update management regularly.
Key Performance Indicators (KPI)
  • 100% accurate attendance and leave records each month.
  • Recruitment requests closed within 15–20 days; minimum 3–5 quality CVs shared per role.
  • 100% completion of employee joining documentation before the start date.
  • Exit formalities completed within 7 working days of the last working day.
  • Vendor quotations obtained within 48 hours of request.
  • 100% compliance in documentation and statutory records.
  • Payments confirmed within 48 hours; zero unresolved discrepancies beyond 7 working days.
  • Weekly reports and trackers were submitted on time to management.
  • At least 1 employee engagement activity executed per quarter.
  • Minimum 6 months of relevant tenders identified per month with 100% timely submissions.
