Role Overview: The HR Operations Coordinator – Offshore will manage HR administration for offshore resources and act as a liaison between HR and vendors. This role ensures smooth coordination for invoicing, recruitment, performance evaluations, compliance, engagement initiatives, and effective file management. The position also supports training coordination, leave management, and quality assurance processes for offshore teams.
Key Responsibilities:
Administrative Functions • Ensure effective file management for HR documentation, contracts, audit, and compliance records. • Maintain organized digital filing systems for easy retrieval and audit readiness. • Monitor resource attendance and leave, and report any irregularities or attendance-related issues to the onshore operations and HR team. • Generate monthly reports for the onshore operations/HR team on KPIs and attrition. • Serve as the primary point of contact between onshore HR and vendors for administrative requirements. • Raise monthly memos for invoicing related to rentals, resource salaries, IT assets, End of Service (EOS), and other HR-related expenses as applicable. • Monitor resource contract renewals and extensions as required. • Prepare documentation for internal audits as needed. • Ensure complete and standardized documentation templates for contracts, memos, and HR forms.
Recruitment Support • Coordinate with vendors and the onshore Talent Acquisition team for interview scheduling and profile screening. • Maintain and update the recruitment tracker for offshore positions.
Performance & Learning Coordination • Liaise with the onshore Learning & Development team for performance evaluations of offshore resources. • Track completion of mandatory compliance and skill development training. • Act as the primary coordinator for training sessions and updates with the onshore operations team. • Schedule performance evaluations and QA assessments for resources in coordination with onshore operations teams.
Onboarding & Engagement • Coordinate onboarding and offboarding for resources, including documentation, induction, and exit procedures. • Organize engagement activities for resources in all ODCs (budget to be determined). • Act as the first point of contact for resource queries and grievances.
Leave Coordination • Monitor and coordinate leave plans with the onshore team to ensure operational continuity in coordination with offshore resources/teams.
Qualifications & Experience: • Bachelor’s degree in HR, Business Administration, or related field. • Minimum 2 years of experience in HR administration (mandatory). • Strong verbal and written English communication skills. • Proficiency in MS Office and HR systems.
