Job Description

General Summary of role:

  • Maintain and regularly update HR databases, employee master data, and digital/physical employee files.
  • Track employee lifecycle activities including onboarding, confirmation, transfer, and separation.
  • Maintain attendance, leave, and shift trackers aligned with payroll timelines.
  • Support payroll inputs, deductions, and variable pay data, ensuring accuracy and timeliness.
  • Maintain statutory compliance trackers (PF, ESIC, PT, LWF, Gratuity).
  • Issue HR letters such as appointment, confirmation, increment, transfer, and release letters.
  • Manage HR MIS reports including headcount, attrition, hiring, and attendance dashboards.
  • Coordinate with finance and payroll partners for monthly & yearly closures.
  • Support audits, internal HR reviews, and compliance documentation.
  • Maintain policy acknowledgment records and ensure updated versions are shared organization-wide.

Onboarding & Induction

  • Coordinate end-to-end onboarding from offer acceptance to Day 1 readiness.
  • Handle documentation collection, ID creation, system access, and asset allocation.
  • Conduct HR induction and schedule functional induction with leaders.
  • Ensure all joining forms, compliance documents, and declarations are collected and validated.
  • Share onboarding kits, joining instructions, and ensure seamless new-joiner experience.
  • Track probation confirmations and coordinate with managers for timely reviews.
  • Capture onboarding feedback and implement improvements.

Background Verification (BGV)

  • Initiate BGV through external vendors and track status until closure.
  • Work with candidates to obtain missing documents.
  • Flag and escalate adverse findings or discrepancies.
  • Maintain BGV records and ensure confidentiality and compliance.

Talent Acquisition (TA) Coordination

  • Support end-to-end interview coordination with candidates and hiring managers.
  • Manage feedback loops and ensure timely updates to candidates.
  • Assist in offer rollout, documentation collection, and joining follow-ups.
  • Maintain TA trackersoffer status, candidate pipeline, and hiring metrics.
  • Support hiring drives, campus recruitment, and referral management.
  • Coordinate with external staffing agencies for updates and closures.

Employee Engagement

  • Assist in planning, coordinating, and executing employee engagement initiatives, cultural programs, festivals, team outings, and virtual/hybrid events.
  • Support monthly and quarterly engagement calendars and track participation metrics.
  • Coordinate birthday, anniversary, milestone, and recognition celebrations.
  • Assist in running pulse surveys, collecting feedback, and sharing insights with HR leadership.
  • Support reward & recognition programs (spot awards, peer recognition, performance-based recognition).
  • Draft internal communication for engagement initiatives (emails, posters, intranet updates).
  • Maintain engagement trackers and ensure timely closure of action items.
  • Coordinate with admin, vendors, and internal teams for event logistics.
  • Capture engagement moments for newsletters, social pages, or internal communications.

Exit & Offboarding Management

  • Handle the complete exit process including resignation acknowledgement and acceptance workflow.
  • Conduct exit interviews and document feedback for analysis.
  • Coordinate clearance processes with IT, Admin, Finance, and respective managers.
  • Ensure timely retrieval of company assets such as laptops, access cards, and ID cards.
  • Prepare and issue exit-related documents—relieving letter, experience letter, F&F acknowledgment.
  • Support payroll team in processing full & final settlement inputs.
  • Maintain attrition records and update employee master files post-exit.
  • Track and follow up on knowledge transfer (KT) plans with managers.
  • Manage exit MIS, trends, and attrition dashboards for monthly HR reviews.
  • Ensure statutory compliance for exits (PF withdrawal, gratuity eligibility, etc., where applicable).
  • Share alumni communication (if applicable) and ensure smooth closure of exit formalities.
