Role Description


Front Desk Executive


Responsibilities


1. Front Office Management & Hospitality

  • Visitor Management:

    Warmly greet and welcome all visitors, clients, candidates, and vendors, ensuring a seamless and professional check-in/check-out process.
  • Communication Hub:

    Expertly manage a high volume of incoming and outgoing calls, directing them accurately and efficiently, and handling general inquiries with courtesy.
  • Mail & Logistics:

    Coordinate and distribute all incoming mail, couriers, and deliveries; prepare outbound shipments and manage related logs.
  • Ambience Control:

    Ensure the reception area, meeting rooms, and common areas are consistently neat, professional, and presentable.


2. Administrative & Operational Support

  • Meeting Coordination:

    Schedule, prepare, and organize meeting rooms, including arranging basic AV equipment setup and coordinating catering requests for internal and external meetings.
  • Access Management:

    Maintain visitor logs, issue temporary access cards, and manage the security protocol for all external guests.
  • Supply Management:

    Monitor and maintain inventory of office supplies, stationery, and pantry items; place timely orders and coordinate with vendors to ensure continuous availability.
  • Record Keeping:

    Assist the HR and Administration teams with basic data entry, document filing, and maintaining up-to-date vendor/contact directories.


3. Professional Standards

  • Demeanor:

    Maintain a polished, professional appearance and consistently demonstrate a positive, helpful attitude.
  • Problem Solving:

    Proactively identify and resolve minor administrative or logistical issues at the front desk before escalation is required.


Qualifications


  • Minimum of

    2–4 years of full-time experience

    in a Receptionist, Front Desk, or Administrative role, preferably within an IT/Corporate environment.
  • Excellent command of

    English (both written and verbal)

    ; proficiency in other local languages is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for scheduling and basic reporting.
  • Strong organizational skills, ability to multitask, and keen attention to detail.
  • A professional, engaging demeanor with a strong commitment to exceptional client service.
