Job Description

Job Title: Front Desk Associate

Location: On-site – New Delhi

Type: Full-Time | Immediate Joining Preferred

Reporting To: Ops Manager


🔸 Role Objective

To oversee the centre’s daily functioning with precision—ensuring disciplined scheduling, impeccable data management, coordinated communication, and consistent operational flow. The Coordinator will serve as the central point of alignment between therapists, families, and leadership.


🔸 Core Responsibilities

Operational Oversight

  • Curate and circulate the daily therapist schedule with punctuality.
  • Maintain and update the daily patient roster; ensure all sessions commence and conclude as planned.
  • Anticipate and resolve scheduling disruptions with minimal escalation.

Documentation & Financial Accuracy

  • Sustain comprehensive session records—both digital and physical—capturing all relevant therapy and payment details.
  • Share daily financial updates with the designated internal group.
  • Monitor therapist session counts and prepare accurate monthly summaries for the Finance team.

Patient Coordination & Administrative Support

  • Maintain an organised and current database of all patient information.
  • Facilitate onboarding of new families with clarity, warmth, and professionalism.
  • Track patient movement (new joiners, discontinuations) through a structured conversion log.
  • Generate invoices, receipts, and maintain precise financial documentation.

Communication & Reporting

  • Maintain a concise log of calls and messages for internal reference.
  • Share approved daily media updates (photos/videos) when required.
  • Oversee therapist attendance and submit timely, accurate reports to HR.

  • Bachelor’s degree (Business Administration, Healthcare Management, or related fields preferred).
  • Minimum 2 years of experience in coordination, administration, or operational roles.
  • High proficiency in Excel/Google Sheets and comfort with financial record-keeping.
  • Ability to operate autonomously while upholding organisational standards.
