Finance & Governance (EP Team)

Purpose/Objective

Support to Lead FPNA in budgeting exercise for the security function, basis strategic roadmap and business requirements Responsible for Procurement, accounting and billing for Group Corporate Security Monitoring of security OMP Management and Compliances across Group

Key Responsibilities of Role

Roles and Responsibilities Finance and Administration - Consolidate AEL security budgets and share with Manager for review - Share and collate the data for periodic budget review of Budget Vs Actuals - MIS Generation of financial statements - Coordination of department Events, Functions, Team Building Activities and Procurement Vendor Management - Ensure cost negotiation with the vendors for cost optimization and effective material or service delivery - Deployment of the outsourced security manpower as per the budget and its routine operational governance - Communication and maintain of records and data related to vendors for routine process of delivery and service against work order and necessary follow ups for payment, service, and reconciliation - Monthly MIS preparation of OMPs and Compliances across the Group - Support in yearly performance management Process for the security agencies - Consolidate the CPBG Value of all the agencies as per the service order value and timely communication to Security agencies and Commercial team Audit and Compliances- Record of all the financial aspects and OMP Governance to justify the audit observation - Maintain all the Statutory compliances records to justify the observation of any Govt Authority like PF, Labour Ministry, ESIC or Taxation Dept - Conduct periodic internal audit of the Service orders and SES to avoid any non-compliances Key Interactions Internal External- Collaborate with other department teams such as Techno Commercial Team/ Finance/HR/IR/ABEX/MAAS/Legal & Account Team for support in financial and Compliances process - Interact with existing outsourced talent partners to strengthen working relationship and manage their performance - Coordination with BU Coordinators for OMP Management - Interact with the service and material partners to ensure better service and material delivery Key Result Areas (KRAs) & Key Performance Indicators (KPIs) KRA KPI Commercial- [%] Creation of NFA and PR as per the DoA - [%] Services & Procurement rate negotiation with vendor Financial Excellence- [%] adherence to timeline for budget preparation for AEL - [%] Budget reviews and data collection - [%] AEL Monthly Expenses review and report submission - [%] Coordination with ABEX & Business finance controller to release vendor payment on time Vendor Governance- [%] Vendor data management - [%] Records pertaining to the statutory compliance document - [%] Monthly OMP MIS Creation and Submission

Qualifications and Experience

Educational Qualification: - Bachelor’s degree in any stream - Preferable to have basic Security knowledge of Security Operations and Security Management Experiences: - More than 6 years of work experience with minimum 2 years’ experience in financial management, Budgeting, Vendor Management and compliances - Hands-on experience managing financial budgeting, Opex and Capex spending for a medium/ large sized organization - Experience of dealing with multiple stakeholders across levels– internal as well as external - Preferable to have worked in an organization with diversified businesses Knowledge of commercial activities, Labour laws, Statutory compliances and Governance model
