Job Description

Position Overview

As an Export Documentation and Shipping Manager at Venus Enterprise, you will be responsible for overseeing and managing all aspects of the company's export documentation, logistics, and shipping operations. This pivotal role ensures that all international shipments are processed efficiently, comply with trade regulations, and meet delivery timelines. You will also serve as the main point of contact for our global customers, offering excellent customer service and resolution for any shipping issues that may arise.

Key Responsibilities

  • Export Documentation
  • Prepare and manage all necessary export documents including invoices, packing lists, certificates of origin, and customs declarations.
  • Ensure documentation is accurate, complete, and compliant with international trade regulations, preventing delays and penalties.
  • Logistics Coordination
  • Coordinate shipments with freight forwarders, carriers, and logistics partners, optimizing routes to ensure cost efficiency and timely delivery.
  • Manage shipping schedules and update customers on delivery status.
  • Customs Compliance
  • Stay current with international trade regulations, customs laws, tariffs, and import/export requirements.
  • Ensure compliance with all customs regulations to avoid delays or fines and ensure smooth customs clearance for each shipment.
  • Shipping Coordination
  • Oversee and manage the movement of goods from point of origin to destination.
  • Track shipments, resolve shipping delays, and mitigate any issues related to transportation.
  • Customer Communication
  • Serve as the primary point of contact for international clients regarding shipping status, schedules, and delivery-related inquiries.
  • Maintain strong customer relationships, providing exceptional customer service to meet client needs.
  • Quality Control
  • Collaborate with the quality assurance team to ensure products are packed and shipped according to safety and quality standards.
  • Prevent damage and ensure products are securely packaged for international transit.
  • Cost Optimization
  • Analyze and review shipping costs regularly.
  • Negotiate contracts with carriers to secure competitive rates and implement cost-saving initiatives without compromising service quality.
  • Team Management
  • Supervise and mentor a team of export documentation and shipping professionals.
  • Provide guidance and training to ensure high levels of performance, efficiency, and adherence to company standards.

Qualifications

  • Education:
  • Bachelor's degree in Business, Logistics, International Trade, or a related field.
  • Experience:
  • Proven experience (5+ years) in export documentation and shipping management, preferably within a manufacturing or industrial environment.
  • Strong understanding of international trade regulations, customs procedures, and shipping standards.
  • Skills:
  • Proficiency in relevant software and systems for tracking shipments, managing documents, and overseeing logistics (e.g., ERP, TMS, WMS).
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent verbal and written communication skills, with the ability to effectively negotiate with carriers and handle customer inquiries.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.) and/or other relevant documentation tools.

Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month
