Center Manager – Roles & Responsibilities (Visa Consultancy Services)1. Operational Leadership & Service Excellence
- Oversee day-to-day functioning of the visa consultancy center, ensuring smooth operations and strict adherence to SOPs.
- Maintain 100% accuracy in documentation, application filing, compliance checks, and client communication.
- Conduct daily audits of files to prevent errors—any error leading to client loss or financial impact will attract high penalty as per company policy.
- Ensure all team members meet quality benchmarks for counselling, documentation, and service delivery.
2. Team Management & Performance Monitoring
- Lead, train, and supervise counsellors, documentation officers, and support staff.
- Set daily/weekly/monthly targets and ensure team performance meets or exceeds KPIs.
- Create action plans for underperforming staff—consistent non-performance will result in penalties and escalation procedures.
- Manage staff schedules to avoid operational gaps; enforce discipline in attendance, punctuality, and reporting.
3. Client Handling & Escalation Resolution
- Act as the primary escalation point for dissatisfied or high-value clients.
- Personally handle complex files or applications requiring expert-level accuracy.
- Ensure clear, transparent communication with clients on timelines, documentation, and visa procedures.
- Monitor client feedback and drive improvements to prevent complaints and negative reviews.
4. Compliance, Accuracy & Risk Control
- Enforce compliance with immigration laws, embassy/consulate guidelines, and internal company policies.
- Approve all final submissions only after thorough verification—zero tolerance for documentation errors.
- Maintain updated knowledge of visa rules for all key destinations (e.g., United States, United Kingdom, Canada, Australia, Ireland).
- Implement risk-mitigation strategies to prevent compliance breaches or operational lapses.
5. Reporting, Accountability & Discipline
- Submit daily MIS, sales performance reports, pipeline updates, and operations checklists within defined timelines.
- Track center performance metrics and report deviations immediately to senior management.
- Late reporting, delayed submissions, or inaccurate reporting will invite penalties as per company norms.
- Ensure planned leave approvals are followed; sudden leave without prior notice to impact center operations is subject to disciplinary action.
6. Sales Growth & Revenue Management
- Drive admissions, visa service sales, upselling, and cross-selling of value-added services.
- Ensure month-on-month revenue growth and target achievement for the center.
- Monitor conversions at every stage—from enquiries to counselling, documentation, and visa filing.
- Analyze market trends and competitors to recommend new service offerings or improvements.
7. Training & Development
- Conduct weekly training sessions for the team on documentation accuracy, visa updates, and client-handling skills.
- Ensure all staff stay updated with latest embassy rule changes, process timelines, and compliance updates.
- Mentor junior staff to improve their productivity, quality, and client satisfaction scores.
8. Facility Administration & Compliance
- Ensure the center is well-maintained, organized, and meets brand standards.
- Supervise inventory, documentation supplies, and IT equipment required for smooth operations.
- Maintain safety, confidentiality, and data-protection standards for client files and personal information.
