Job Description

Job Title: Executive Assistant to Managing Director (MD)

  • Administrative Support:

    • Manage and maintain the MDs calendar, appointments, travel plans, and meetings.
    • Prepare and organize documents, presentations, reports, and correspondence for internal and external communications.
    • Draft, review, and manage emails and letters on behalf of the MD.

  • Meeting Coordination:

    • Schedule and coordinate executive meetings, board meetings, and reviews.
    • Prepare agendas, take minutes, and ensure timely follow-up on action items.

  • Communication & Liaison:

    • Act as the primary point of contact between the MD and internal teams, clients, partners, and stakeholders.
    • Screen and prioritize calls, emails, and requests, ensuring timely responses.

  • Project & Task Management:

    • Assist in monitoring key projects, deadlines, and deliverables.
    • Conduct research and compile data to support decision-making and strategic planning.

  • Confidentiality & Discretion:

    • Handle sensitive business and personal information with the highest level of confidentiality.
    • Ensure compliance with company policies and ethical standards.

Qualifications & Skills:

  • Bachelors degree in Business Administration, Management, or a related field (Masters preferred).
  • 5+ years of experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative role.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills in English (and other relevant languages, if required).
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, etc.).
  • High level of discretion, integrity, and professionalism.
  • Ability to work independently and under pressure in a fast-paced environment.
