Key Responsibilities

  • Provide comprehensive administrative support to the MD: manage calendar, schedule meetings, coordinate travel & accommodation, prepare expense reports and handle correspondence.
  • Act as the primary point of contact between the MD and internal/external stakeholders (vendors, clients, senior management, government authorities, etc.).
  • Prepare briefing materials, presentations, reports and meeting minutes for the MD; follow up on action items.
  • Organise and prioritise information flow: screen emails/phone calls, draft responses, escalate issues appropriately.
  • Maintain confidential documents and records; ensure the MDs office functions smoothly and efficiently.
  • Assist with project tracking and coordination: liaise with project teams, site teams, finance, legal, marketing to obtain updates, compile summaries for the MD.
  • Support the MD in personal errands or tasks when required (within Company policy) to ensure the MD’s time is optimally utilised.
  • Arrange board/senior-leadership meetings, travel itineraries, and logistics for offsite events or visits.
  • Conduct basic research, gather data (market, competitor, regulatory) and prepare one-page summaries for the MD’s review.
  • Maintain and update contact lists, office / site schedules, and ensure documentation is organised and up to date.

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Management, or equivalent; post-graduate would be a plus.
  • Minimum of 4-6 years of experience as Executive Assistant/Office Manager to senior leadership in real estate / construction / corporate environment.
  • Strong organisational skills, capable of managing multiple priorities and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills in English and Tamil.
  • High level of confidentiality, discretion and professionalism.
  • Strong interpersonal skills; ability to liaise with senior management, external partners, teams and vendors.
  • Proficiency in office software (MS Office – Word, Excel, PowerPoint), calendar and travel management tools.
  • Ability to work extended hours or travel occasionally as needed (within Chennai / Tamil Nadu).
  • Proactive, self-motivated, detail-oriented and adaptable.
  • Familiarity with real estate/construction industry processes, documentation or terminology is highly desirable.
