About the Role:
We are looking for a smart, highly organized, and proactive Executive Assistant to support our Director. This is a dynamic and pivotal role requiring strong communication, technical proficiency, attention to detail, and the ability to manage multiple priorities seamlessly. You will act as a strategic partner, ensuring smooth daily operations and enabling high-level decision-making with accurate reporting and analysis.
Key Responsibilities:
-Provide high-level administrative support to the Director in day-to-day tasks, operations, and strategic planning.
-Prepare detailed and error-free weekly, monthly, quarterly, and annual reports.
-Handle email communications, scheduling, calendar management, and meeting coordination efficiently.
-Maintain confidential documents, agreements, records, and presentations in a systematic manner.
-Create and manage dashboards and trackers for performance monitoring and project updates.
-Assist in data analysis, research, and preparing presentations (MS PowerPoint, Excel).
-Track and follow up on tasks, deadlines, and project status with internal departments.
-Support in budget preparation, basic accounting reviews, and financial reporting.
-Coordinate with vendors, clients, and stakeholders as per the Director’s instructions.
-Take minutes of meetings and circulate actionable points with timelines.
Must-Have Skillset:
-Excellent verbal and written communication skills.
-Strong command over MS Excel, PowerPoint, Word, and Google Workspace tools.
-Multitasking abilities with excellent organizational and time-management skills.
-Detail-oriented with the ability to manage high volumes of data.
-Proficient in creating reports, dashboards, and performance trackers.
-Good knowledge of accounting and financial terms and basic calculations.
-Quick learner with a proactive, “can-do” attitude.
-Ability to work under pressure and handle confidential information with integrity.
-Sound judgment and problem-solving capabilities.
-Professional demeanor and ability to represent the Director in communications.
Preferred Qualifications:
-Bachelor’s or Master’s degree in Business Administration, Commerce, or related fields.
-3–6 years of proven experience in a similar Executive Assistant role.
-Familiarity with CRM tools, ERP systems, or business reporting software is a plus.
