Job Description

Seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior executives in a fast-paced commercial real estate environment. This role requires exceptional calendar management skills, discretion, and the ability to anticipate leadership needs while managing multiple priorities.
Key Responsibilities Calendar & Schedule Management
  • Strategic Calendar Planning : Coordinate complex schedules across multiple time zones, prioritizing high-impact meetings and strategic initiatives
  • Meeting Coordination : Schedule internal/external meetings, client presentations, board meetings, and industry events
  • Travel Integration : Seamlessly incorporate travel schedules, allowing for preparation time and time zone adjustments
  • Conflict Resolution : Proactively identify and resolve scheduling conflicts, proposing alternative solutions
  • Meeting Preparation : Prepare agendas, briefing materials, and ensure all necessary resources are available
Administrative Excellence
  • Communication Management : Screen and prioritize emails, calls, and correspondence
  • Document Preparation : Create presentations, reports, and executive communications
  • Expense Management : Process expense reports and manage budgets for executive activities
  • Confidentiality : Handle sensitive information with utmost discretion and professionalism
Stakeholder Coordination
  • Internal Liaison : Coordinate with various departments, teams, and regional offices
  • Client Relations : Interact professionally with high-profile clients, investors, and industry partners
  • Board Support : Assist with board meeting preparations and follow-up activities
Required Qualifications
  • Bachelors degree preferred
  • 5+ years of executive assistant experience, preferably in CRE, finance, or professional services
  • Advanced proficiency in calendar management systems (Outlook, Google Calendar)
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational abilities
  • Ability to work independently and handle confidential information
