Your role exists to:
- Act as a counterbalance to distraction and context switching, helping keep work aligned to agreed priorities and goals
- Take high-level intention and direction and translate it into concrete plans
- Break ideas into clear steps, owners, timelines, and systems
- Systemise repeatable work so it no longer sits with the founder
- Drive execution and follow-through until outcomes are achieved
- Keep projects, people, and tools moving forward without constant oversight
EA + Integrator
What success looks like (outcomes)
Within 60 days, you will:
- Take repeating tasks off the founder’s plate, unlocking time for higher-leverage work.
- Provide planning and execution support so projects are progressed and completed without bottlenecks.
- Ensure workstreams move forward even when direction is high level or evolving.
- Build and maintain clean systems (ClickUp, CRM/GHL, documentation).
- Convert repeated tasks into SOPs, templates, and checklists.
- Improve speed and consistency across client delivery and internal operations.
Core responsibilities
1) Turning Intention into Execution (Founder Support)
- Capture intent, tasks, and decisions from calls, messages, Looms, and notes.
- Turn direction and intent into clear plans with
next actions
, owners, due dates, and checklists. - Manage the founder’s calendar, scheduling, reminders, and time-blocking.
- Draft and prepare emails/messages for approval and sending.
- Follow up on commitments (internal and client-side) to drive completion and ensure nothing slips through the cracks.
2) Operations & Systemisation
- Maintain and improve
ClickUp
project hygiene: task structures, statuses, recurring tasks, templates. - Create and maintain SOPs, checklists, and internal playbooks.
- Build lightweight systems that reduce friction (templates, forms, standard operating flows).
- Identify bottlenecks and propose pragmatic fixes (not over-engineering).
3) Client & Account Support (Coordination)
- Coordinate client communication: scheduling, agendas, meeting notes, action items.
- Prepare monthly reporting packs and summaries using existing templates.
- Ensure deliverables and next steps are tracked and progressed.
- Keep key client threads organised and easy for quick review.
4) Sales & Growth Operations Support
- Maintain sales pipelines and follow-ups inside the CRM or GHL.
- Prepare sales materials from templates (slides, one-pagers, proposals, scopes).
- Support outreach execution (cold email/LinkedIn) using predefined frameworks.
- Coordinate sales/admin tasks: booking calls, sending prep materials, post-call follow-up.
5) Recruiting Support
- Post job ads, manage inbox/applications, and keep applicant tracking tidy.
- Shortlist candidates using scoring criteria.
- Coordinate interviews and prepare interview packs.
- Help manage the trial task process and collate results.
6) Marketing Execution Support (non-strategic)
- Assist with campaign setup (e.g., Meta ads)
using existing frameworks and instructions
. - Coordinate creative requests, assets, and timelines.
- Draft and repurpose content from existing materials (calls, notes, transcripts).
- Monitor key metrics and produce simple weekly summaries.
7) Personal Admin & Ad Hoc
- Travel bookings, gift purchasing, reservations, and errands.
- Coordinate team merch and ad hoc requests.
- Research tasks: vendors, tools, options, pricing, comparisons.

Skills & experience we’re looking for
Must-have
- Experience supporting a founder/leader in a fast-moving environment (EA, ops, project coordination).
- Strong written English and clear, confident communication.
- Comfortable in ClickUp (or similar) and CRMs, with a very high level of attention to detail.
- Confident using Google Workspace (Docs/Sheets/Slides), Loom, Slack.
- Ability to make reasonable assumptions and move work forward.
Nice-to-have
- Experience in a digital marketing agency or SaaS.
- Familiarity with GoHighLevel (GHL) or similar CRMs.
Basic Meta and Google Ads setup experience
.- Canva or basic design coordination skills.
- Outreach tools (email sequencing, LinkedIn workflows).
How you’ll work (cadence)
- Daily written update covering what shipped, what’s next, blockers, and decisions needed.
- Weekly planning and review with the founder covering priorities, improvements, and systemisation.
