Job Description

Role Description:

We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide high-level administrative support to senior executives. In this role, you will be responsible for managing schedules, coordinating meetings and travel, handling confidential information, and ensuring seamless day-to-day operations for leadership.

The ideal candidate is detail-oriented, discreet, and adaptable—able to anticipate needs, solve problems independently, and communicate effectively across all levels of the organization. You will serve as a key partner to executives, helping them stay focused, productive, and aligned with strategic priorities.

Key Responsibilities:

  • Manage complex calendars, schedule meetings, and coordinate appointments across time zones.
  • Arrange domestic and international travel, including flights, accommodations, itineraries, and expense reports.
  • Prepare, proofread, and format correspondence, presentations, and other executive communications.
  • Coordinate and support meetings, including agenda preparation, logistics, note-taking, and follow-ups.
  • Serve as a point of contact between the executive and internal/external stakeholders.
  • Handle confidential documents and sensitive information with discretion.
  • Track and help manage key deadlines, action items, and priorities.
  • Support special projects and executive initiatives as needed.
  • Ensure the executive’s time is optimized and aligned with organizational goals.
  • Help maintain a well-organized and professional office environment.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
  • 0–5 years of experience as an Executive Assistant or in a similar high-level administrative support role.
  • Exceptional organizational and time-management skills, with the ability to manage multiple tasks and priorities.
  • Strong attention to detail and a high degree of accuracy in all work.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with productivity tools (e.g., Google Workspace, Zoom, Slack) is a plus.
  • Discretion and integrity when handling confidential information.
  • Ability to work independently, take initiative, and make sound decisions under pressure.
  • Strong interpersonal skills and the ability to build relationships across departments and with external partners.
  • Experience supporting C-suite or senior leadership is highly desirable.
