Role Overview

Executive Assistant (EA) to the Founder


Key Responsibilities

1. Executive Support & Calendar Management

  • Manage and optimize the Founder’s daily schedule, appointments, and travel plans
  • Prioritize tasks and meetings to align with business objectives
  • Ensure timely reminders, briefing notes, and preparation for all engagements

2. Communication & Coordination

  • Act as a trusted point of contact between the Founder and internal/external stakeholders
  • Draft, review, and manage emails, presentations, and documents with accuracy and confidentiality
  • Facilitate seamless communication and coordination between teams

3. Project & Task Management

  • Track key projects, deadlines, and action items on behalf of the Founder
  • Follow up with teams to ensure progress and timely completion of deliverables
  • Support planning and execution of strategic initiatives

4. Meeting Support

  • Prepare agendas, minutes, summaries, and follow-up action plans
  • Ensure all necessary documents, research insights, and data are ready before meetings
  • Coordinate logistics for internal and external meetings

5. Operational Efficiency

  • Support the Founder in day-to-day administrative and operational tasks
  • Maintain documentation, records, and confidential files
  • Assist with vendor coordination, purchase approvals, and workflow optimization

6. Research & Insights

  • Conduct quick research to support decision-making across operations, business, and partnerships
  • Prepare concise reports, briefs, and industry updates

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Management, or related field
  • 2–5 years of experience as an EA, Chief of Staff, or in a similar role
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • High attention to detail and follow-through
  • Proactive, solution-oriented, and capable of anticipating needs
  • Ability to handle confidential information with professionalism
  • Proficiency in Google Workspace, MS Office, scheduling tools, and task/project trackers
  • Experience in a startup or dynamic environment preferred
  • Interest in wellness, healthcare, or consumer brands is a plus
