We are seeking a meticulous and detail-oriented

Documentation & Back-End Support Executive

to manage and streamline our documentation processes, ensure compliance with company and regulatory standards, and provide operational support to multiple teams. The ideal candidate will have strong document management skills, a keen eye for quality assurance, and the ability to collaborate effectively across departments. This role is critical for ensuring accurate recordkeeping, smooth operational workflows, and high standards in document preparation and process efficiency.

Key Responsibilities

  • Document Management & Preparation
  • Create, prepare, and format business documents, reports, and presentations using MS Office tools.
  • Ensure documents are accurate, complete, and compliant with company policies and regulatory requirements.
  • Maintain version control and organize files for easy retrieval and reference.
  • Support in preparing documentation for client proposals, contracts, and operational processes.
  • Compliance & Quality Assurance
  • Review and verify documents to ensure adherence to internal standards and external compliance regulations.
  • Monitor document accuracy and consistency to maintain quality across all deliverables.
  • Maintain an up-to-date understanding of compliance requirements relevant to documentation processes.
  • Conduct periodic audits of documentation to identify and address gaps or errors.
  • Recordkeeping & Data Management
  • Maintain systematic and secure records of all business documents and correspondence.
  • Ensure all documentation is archived according to organizational policies and retention schedules.
  • Track and update databases, logs, and registers with accurate and timely information.
  • Communication & Collaboration
  • Coordinate with internal departments to gather required documentation and information.
  • Collaborate with cross-functional teams to ensure timely completion of documentation tasks.
  • Serve as a point of contact for document-related queries, providing clear and accurate information.
  • Process Improvement
  • Identify opportunities to streamline documentation processes for greater efficiency.
  • Recommend and implement best practices for document handling, quality checks, and storage.
  • Support in the development of SOPs (Standard Operating Procedures) for documentation activities.
  • Logistics & Operational Support
  • Assist in planning and coordinating logistics for internal and external meetings, shipments, or project needs.
  • Ensure all related documentation for logistics activities is prepared and maintained accurately.
  • Provide back-end operational support to ensure smooth execution of day-to-day activities.

Skills & Qualifications

  • Education: Bachelor's degree in Business Administration, Management, or a related field.
  • Experience: Minimum 2 years in documentation, back-office support, or a related role.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong document formatting, editing, and presentation skills.
    • Familiarity with document management systems (DMS) preferred.
  • Core Skills:
    • Strong attention to detail and accuracy.
    • Excellent communication and collaboration abilities.
    • Understanding of compliance and quality assurance processes.
    • Effective organizational and time management skills.
    • Ability to adapt to process changes and drive improvements.
