Job Description

Principal Accountabilities: Physical Dispatch – Pre & Post Commercial Activity Preparation of Sales Orders based on Purchase Orders. Ensure compliance with commercial terms, credit policy, and GST clauses Validate selling rates against cost and highlight discrepancies to the Sales Head. Oversee and control the complete dispatch cycle. Coordinate in preparation of invoices, challans, and e-way bills (in absence of junior staff). Assist in customer code creation and maintenance. Handle commercial documentation: invoices, credit notes, debit notes, quotations, and proformas. Maintain and update the daily physical dispatch report MIS & Sales Data Management Provide sales data and MIS reports to sales executives as required. Maintain and update Target vs. Achievement records for all sales personnel. Support the sales team with required data analysis and reports. Purchase Order Management Daily tracking of PO status: dispatched vs. balance quantity. Monitor and maintain high-value project POs. Maintain detailed records of all purchase orders with backups. Ensure accurate tracking in terms of sales value and volume. D ) Petty Cash Management Handle daily petty cash accounting, including cash receipts and vouchers. Maintain control over cash vouchers and flag any discrepancies. Conduct periodic cash verification. Report delays in reimbursement submissions to the Zonal Manager. Credit Control & Receivable Management Timely posting of bank receipts and allocation entries. Send monthly outstanding statement to the sales team. Highlight critical issues to HOD and Head Office Credit Control. Prepare daily collection and outstanding reports. Maintain records for rebate notes, doubtful debts, commission statements, and account reconciliations. Ensure strict compliance with company credit policies including cheque bounce management. Monitor PDC cheques, including deposit arrangements. Task Execution Ensure 100% execution of key responsibilities and tasks assigned Qualifications & Experience Required: Academic: M.Com Technical: Proficient in SAP Experience: 15 - 16 Years Skills Required: Strong commercial acumen Hands-on experience in SAP.
