Purpose of the Job:
1) To facilitate the completion of documentation formalities, dispatch of orders and assist in timely product delivery to the customers. 2) Assisting External Sales for coordination with Plant, Orders execution, A/R, Production Planning. 3) Interact seamlessly and proactively to customer queries. 4) Periodic MIS reports to Manager and Management.
Key Dimensions:
Ensure Accurate and Timely Order Booking & Invoicing.
Raise Planning efficiency. Daily OTIF Monitoring.
Proactive in Production planning for MTO items and SMOG liquidation.
Customer Problem Solving.
Quick redressal of Customer complaints and its tracking.
Support in NSV & SDM achievement
Ensure effective coordination for Inventory and Transportation management
Ensure Open Orders accuracy and review.
Description of main tasks:
The Incumbent is responsible for the following tasks:
1) Order input in SAP
To receive and Enter Order into system as per the Process Defined. Accurate and timely order entry. Ensure accuracy and reveiw of open orders with Sales.
2) Dispach/Shipping Info
To ensure timely clearance and documentation with clear dispatch Instructions to Logistics for invoicing and shipping to Customers.
3) Co Ordination, Negotiation with Freight Forwarder, Transporters
To coordinate , negotiate effectively with Freight Forwarders and Transporters for Overseas and Domestic consignements. Ensure timely availability of vehicles, containers for dispatch and billing.
4) Forecasting and Production planning.
To receive forecast from Sales and closely coordinate with Production planning for Inventory and subsequent dispatch, Invoicing.
5) Document Proofing
To check Invoice & all Documentation as per customer Purchase Order and sending to customer within 2 working days. In case of LC, submission as per LC conditions.
6) Support External Sales
Support in Collection of Statutory forms& Collection of Overdue Tracking.
Provide Admin Support to Sales.
Issuing Credit/Debit Notes
Issue Test Certificates, other documents under instructions from External Sales as defined by product Manager/Plant Manager
Provide Sales Reports to Sales Managers & Accounts
Tracking and resolving of Customer Complaints.
Professional Education
Graduate, preferably B. Com. / M.Com. or MBA
Professional Experience (how long)?
5 to 8 Yrs.
In which areas?
Commercial / Customer Support Management, Sales Support, Business administration, Supply Chain Management, Taxation, Import/Export.
Other specific skills/ knowledge?
