About the Role

Corporate Travel Executive

You’ll ensure all travel operations run smoothly — from bookings to compliance — while providing seamless support for CXO and senior leadership travel requirements.




Key Responsibilities:


Travel Desk Management

  • Manage complete employee and CXO-level travel arrangements, including flights, hotels, cabs, and visa documentation.


  • Coordinate international and Domestic travel itineraries while ensuring timely approvals and adherence to travel policies.


  • Handle visa applications, renewals, and documentation with precision and confidentiality.


  • Liaise with travel and accommodation vendors to ensure cost-effective and high-quality service.


  • Track and monitor travel budgets, prepare regular reports, and maintain travel records.


  • Manage emergency changes or cancellations with efficiency and minimal disruption.



  • CXO Calendar & Meeting Coordination


  • Manage and organize CXO calendars, including scheduling meetings, travel plans, and appointments.


  • Ensure seamless coordination between meetings, travel schedules, and external engagements.


  • Anticipate potential conflicts and proactively resolve scheduling issues to optimize the leadership team’s time.


  • Coordinate with internal teams and external partners to ensure smooth execution of leadership meetings and travel agendas.




Vendor & Administrative Coordination


  • Build and maintain strong relationships with travel agencies, airlines, and visa consultants.


  • Negotiate corporate rates and monitor vendor performance.


  • Ensure travel invoices, expense reports, and reimbursements are processed accurately and on time.


  • Collaborate with admin and finance teams for travel-related documentation and compliance.



Reporting & Process Management

  • Maintain detailed reports of travel activities, costs, and vendor performance.


  • Prepare MIS reports and ensure policy compliance for all travel requests.


  • Continuously identify opportunities to improve travel efficiency and cost optimization.



Skills & Qualities We’re Looking For:

  • 2–4 years of experience in

    corporate travel management

    or

    travel desk operations

    .


  • Hands-on experience in

    visa handling, flight and hotel bookings

    , and

    CXO-level coordination

    .


  • Strong organizational and multitasking skills with attention to detail.


  • Excellent communication and stakeholder management abilities.


  • Proficient with

    MS Office / Google Workspace

    and online travel booking tools.


  • Prior experience in a

    startup or fast-paced corporate

    environment is a plus.
