Controller of Examinations (CoE)
. This is a key leadership role responsible for planning, organizing, and supervising all examination- and evaluation-related activities of the university. The ideal candidate should have strong administrative capabilities, high integrity, excellent coordination skills, and thorough knowledge of university examination systems and regulations.
Key Responsibilities
Examination Planning & Administration
- Develop and implement examination schedules, timetables, and notifications for all programs.
- Oversee semester/annual examinations, internal assessments, practicals, vivas, and re-examinations.
- Ensure secure printing, packaging, and dispatch of question papers and examination materials.
- Manage seating arrangements, invigilation duty assignments, and exam center coordination.
Confidentiality & Security
- Maintain strict confidentiality of question papers, answer sheets, and examination records.
- Manage strong room operations, secure storage, and controlled access systems.
- Implement security protocols to prevent malpractice, leakage, or irregularities.
Evaluation & Result Processing
- Coordinate appointment of examiners, evaluators, moderators, and paper setters.
- Oversee answer script evaluation, tabulation, moderation, and approval processes.
- Ensure timely result declaration, rechecking, revaluation, and supplementary exam processing.
- Prepare and publish reports related to pass percentage, performance analysis, and academic statistics.
Regulatory Compliance & Documentation
- Ensure compliance with UGC, AICTE, INC, PCI, NMC, BCI, and other statutory examination guidelines.
- Maintain records for accreditation (NAAC/NBA) and external audits.
- Prepare data for statutory bodies, academic council meetings, and governing bodies.
Technology & ERP Management
- Implement and manage examination-related ERP systems and digital evaluation platforms.
- Work with IT teams to enhance automation of exam registration, hall tickets, results, and certificates.
- Promote technology-driven, transparent, and efficient examination processes.
Coordination & Governance
- Collaborate with Deans, Heads of Departments, Faculty, and Administration for smooth conduct of exams.
- Prepare agendas, minutes, and records for Examination Committee, Result Committee, and other boards.
- Address student queries, grievances, and special cases with fairness and transparency.
Certificate & Document Management
- Oversee issuance of mark sheets, transcripts, migration certificates, degree certificates, and verification.
- Maintain accurate digital and physical records of academic documents.
Qualifications & Experience
- Master’s degree in any discipline; Ph.D. preferred.
- Minimum 10–15 years of experience in university or higher education administration, preferably in examination/academic sections.
- Thorough knowledge of university examination rules, academic regulations, and evaluation systems.
- Experience with digital exam systems, ERP, and automated result processing is highly desirable.
