Communications Operations Senior Specialist
We are seeking a highly organized and delivery-focused Communications Operations Executive to join our Global Communications team. This role is the operational engine behind our communications efforts, ensuring that projects, assets, and campaigns are executed on time, to plan, and with precision.The Communications Operations Senior Specialist will support C-suite and senior leadership communications, manage internal platforms like SharePoint and Poppulo, coordinate Town Hall logistics, and produce first drafts of communications assets based on established frameworks and playbooks. The role also includes light creative production, such as graphics, banner ads, and video editing, to support internal campaigns and events.Operating within a service-level agreement (SLA) model, this role ensures no balls are dropped and that communications deliverables are consistently high-quality, timely, and aligned with strategic priorities.
Key Responsibilities
Operational Communications Support
- Manage intake and tracking of communications requests using Trello, ensuring timely assignment and delivery
- Draft first versions of internal and external communications assets (emails, intranet posts, banners, press releases) based on approved messaging frameworks and playbooks
- Support C-suite and senior leadership communications, including formatting and distributing emails via Poppulo
- Maintain and update internal SharePoint sites, including layout design, content organization, and branding alignment
- Coordinate Town Hall logistics, including calendar invites, live stream setup, recordings, and post-event communications
Creative Asset Production
- Design branded digital assets such as graphics, banner ads, and templates using Canva and other tools
- Edit and produce short-form videos and podcasts to support internal campaigns and leadership messaging
- Assist in the production and formatting of weekly global internal newsletters
Project Management & SLA Delivery
- Operate within defined SLAs to ensure communications projects and deliverables are completed on time and to specification
- Track progress of communications workflows, flag risks, and escalate issues as needed to ensure smooth execution
- Maintain editorial calendars and distribution lists to support global communications planning
Metrics & Reporting
- Collect and analyze performance metrics across internal channels (email, intranet, video)
- Produce monthly engagement reports and collaborate with leadership to identify trends and opportunities for improvement
- Support a culture of continuous improvement through data-driven insights
Qualifications
- Bachelor’s degree in Communications, Marketing, Business, or a related field
- 3–5 years of experience in internal communications, project management, or communications operations
- Strong English writing and editing skills, with attention to tone, clarity, and consistency
- Proficiency in SharePoint, Canva, Trello, and Microsoft Office; familiarity with Copilot/GenAI tools, and Poppulo is preferred
- Basic video and audio editing skills are preferred (e.g., Adobe Premiere, Audacity, or similar)
- Excellent organizational and time management skills, with the ability to juggle multiple priorities and meet deadlines
- Strong attention to detail and commitment to quality
