Civil Coordinator

Job Overview:

The Civil Coordinator will serve as the primary communication link between the building material testing laboratory and its clients The role involves managing sample submissions, scheduling tests, ensuring timely reporting, addressing queries, and maintaining smooth coordination between clients, technicians, and internal commercial teams. Candidates must have civil field experience knowledge of quality processes and prior work experience in a material testing or quality control laboratory.

Key Responsibilities

1 Client Communication Relationship Management

• Act as the main liaison between clients, contractors, consultants, and internal lab teams

• Respond promptly to client inquiries regarding testing requirements, sample status,

pricing, and report details

• Provide technical and administrative support related to material testing (soil, steel, aggregates, bitumen, cement, etc.

• Build and maintain strong client relationships to ensure satisfaction and repeat business

2 Sample Test Management

• Coordinate the receipt, registration, and tracking of samples from clients.

• Schedule laboratory tests and arrange field testing teams for onsite when required.

• Ensure proper labeling, identification, and entry of samples into LIMS/manual registers.

• Track progress of tests and coordinate with lab technicians to meet turnaround timelines.

3 Report Handling Documentation

• Review reports for accuracy, completeness, and compliance with IS/ASTM standards.

• Ensure timely delivery of soft/hard copies of test reports to clients.

4 Commercial Coordination

• Prepare quotations, proposals, and cost estimates for testing services.

• Coordinate with the accounts team for billing and follow up on pending payments.

• Track job orders, revenue, client accounts, and report delivery status.

Qualifications

• Diploma or Degree in Civil Engineering.

• 2-5 years of experience in a building material testing lab or civil QC environment.

• Strong understanding of quality processes and material testing standards.

• Knowledge of IS/ASTM codes related to building material testing.

• Experience with LIMS or manual sample tracking.

Key skills

• Strong client communication and relationship management skills.

• Knowledge of civil materials and testing procedures.

• Ability to coordinate with technical and commercial teams.

• Attention to detail for documentation and report review.

• Good command of MS Excel, Word, and email communication.
