Job Description

We are seeking a highly organized and detail-oriented Back Office Executive to join our team. The ideal candidate will be responsible for a wide range of administrative and operational tasks, ensuring the smooth and efficient functioning of our business's back-end operations. This role is crucial for supporting our UK and US-based clients, requiring exceptional communication skills and a strong command of the English language to manage correspondence and maintain professional relationships. Key Responsibilities: Data Management: Accurately and efficiently perform data entry, maintain records, and manage company databases. Ensure data integrity and confidentiality for all sensitive information. Documentation and Reporting: Handle the processing, verification, and filing of various documents, including invoices, contracts, and reports. Prepare and present regular reports to management. Administrative Support: Provide comprehensive administrative support to various departments, including sales, finance, and operations. This includes handling emails, scheduling meetings, and managing correspondence. Client Communication: Serve as a key point of contact for administrative inquiries from our UK and US-based clients, ensuring timely and professional communication via email. Process Improvement: Identify and implement opportunities to streamline and improve back-office workflows and procedures to enhance overall efficiency. Team Collaboration: Work closely with the front-office and other internal teams to ensure seamless communication and a cohesive workflow. Required Skills and QualificationsCommunication: Excellent verbal and written communication skills with a strong command of English. Ability to communicate clearly, concisely, and professionally with international clients. Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment. Attention to Detail: A meticulous and highly accurate approach to work, ensuring the highest standards of data entry and documentation. Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM and database management systems. Problem-Solving: Strong analytical and critical-thinking skills to identify issues and develop effective, data-driven solutions. Experience: Proven experience in a back-office, administrative, or similar support role, preferably with exposure to international clients. Education: A Bachelor's degree in Business Administration, Management, or a related field is preferred.
