Key Responsibilities-
1. Client and Stakeholder Communication • Serve as the primary point of contact for clients, ensuring their requirements and expectations are clearly understood and communicated to the project team. • Maintain regular communication with stakeholders, providing project updates and addressing any concerns promptly. • Project Planning and Scheduling • Assist in defining project scope, objectives, and timelines. • Develop and maintain project schedules, ensuring all milestones are tracked and met.
2. Resource Allocation • Coordinate the allocation of resources (personnel, equipment, materials) to ensure project efficiency. • Reallocate resources as needed to meet changing project demands or deadlines. • Task Management and Delegation • Assign tasks to team members, ensuring clarity in responsibilities and deadlines.
3. Progress Monitoring and Reporting • Track project progress against the plan, identifying and resolving any deviations. • Generate regular progress reports and share with clients and internal management. • Monitor task progress and provide support to ensure delivery is completed on time.
4. Risk Management • Identify potential project risks and develop mitigation strategies. • Proactively address issues to prevent delays or budget overruns.
5. Quality Assurance • Ensure all project deliverables meet the required quality standards before submission. • Conduct final reviews and coordinate feedback loops with clients.
6. Meeting Coordination and Documentation • Schedule and facilitate meetings with project teams and stakeholders. • Document Minutes of Meetings (MOMs) and ensure timely distribution within 1-hour post-meeting.
7. Process and Workflow Management • Implement and maintain Standard Operating Procedures (SOPs) for project coordination. • Continuously refine workflows to improve efficiency and consistency.
8. Vendor and Logistics Coordination • Collaborate with vendors to ensure timely delivery of required materials or services. • Confirm specifications and logistical details for project-related activities.
9. Administration • Maintain a daily task list for the team, circulated at the start of each workday. • Ensure all emails are acknowledged and responded to within 24 hours.
10. Team Collaboration and Support • Foster a collaborative environment, promoting open communication and teamwork. • Provide support and guidance to team members to ensure project success
11. Compliance and Documentation • Ensure all project documentation is complete, accurate, and up to date. • Adhere to organizational and industry standards in all project activities.
