Job Summary:

We are looking for a competent and proactive Admin & HR Executive to lead HR operations, office administration, and support inventory, procurement, and compliance activities. This role requires a self-driven individual with strong coordination skills and hands-on experience in handling documentation, compliance, and operational tasks across departments.

Key Responsibilities:1. HR Documentation & Payroll

Handle basic HR processes including onboarding, employee documentation, and exit formalities such as offer letters, appointment letters, and experience certificates. Prepare salary sheets and coordinate for CEO/Finance head approvals for monthly payroll processing. Ensure accuracy and compliance in maintaining employee records and statutory filings (PF, ESI, TDS, PT).

2. Office Administration

Supervise and manage daily office management including housekeeping, pantry, and stationery. Ensure smooth functioning of office equipment, facilities, lease renewals, and vendor coordination. Making payment advice in coordination with finance for timely processing.

3. Inventory & Procurement Coordination

Manage inventory operations using inventory software. Issue POs, track & ensure timely inward/outward of material, and ensure proper documentation like DC, Invoice, e-way bill, transport insurance, etc. are in place. Coordinate with logistics partners or internal teams to avoid delays and maintain delivery records.

4. Import/Export & Bank Coordination

Handle import/export documentation (Invoice, BOE, B/L, AWB, insurance) and liaise with CHA for customs clearance. Coordinate with banks and internal team for BOE submissions, GR waivers, payment processing and related documents also maintaining proper import/export records.

5. Compliance & Record Keeping

Maintain records of insurance (fire, WC, health, transit) and ensure timely renewals. Track PBG issuance, maturity, and redemption.

Requirements:

- Graduate/Postgraduate

- Minimum 5 years of experience in HR, admin, and operations.

- Strong knowledge of Indian labor laws, payroll, PF/ESI/TDS compliance.

- Experience in handling inventory via software tools and coordinating dispatches.

- Familiarity with import/export documentation and customs processes.

- Proficiency in MS Office; strong communication and coordination skills.

- Prior experience in project/import-export companies preferred.
