About Aasraa Trust

Aasraa Trust was established in Dehradun in 2009 as a social work trust focusing on education of underprivileged children, in response to a crisis for intervention for the welfare of children from the riverbed slum under Bindal bridge. Aasraa then worked with the riverbed community to promote the need for education and started an after-school project to augment school education. In 2011, Project Street Smart was started on the pavements of Astley Hall with a group of 5 street children. The objective was to keep the children off the streets and provide them with basic literacy through arts, crafts, music and audio-visual media.

Today, Aasraa works towards empowering street and slum children through education, vocational training, nutrition, medical care and providing shelter homes. Our mission is to level the playing field for children who have neither seen books nor stepped into a school. The children we work with come from extremely impoverished backgrounds and are mostly rag pickers, beggars, addicts, runaways and orphans. We currently work with 9000 children.

Job Description: Account/Admin Manager

Program Name – Girls Education Program (GGIC – Government Girl’s Inter College)

Location – Udham Singh Nagar, Kashipur.

Job Overview We’re looking for an Account/Admin Manager who will be responsible for all legal compliance matters, internal controls and audits, reporting, banking relationships and payments while ensuring the authenticity, integrity, existence, accuracy, authorization and verifiability of all financial transactions recorded in the accounting system. You will ensure that all financial functions in the Government Girls Inter College (GGIC) including accounting, payments and banking, payroll, budgeting, financial reporting, grant financial management and compliance are adhered to effectively and in a timely manner.

Roles and Responsibilities

Accounting

1. Oversee and manage daily accounting and finance functions including the timely recording of transactions, cash management, banking, payroll, donations processing, bills, receivables and payables.

2. Responsible for full accounts payable function from procurement through payment of invoices.

3. Process employee expense reimbursements.

4. Ensures timely payment to all organization’s payees and maintains sufficient and complete payee files.

5. Oversee FCRA compliances and ensure industry best practices are followed, which shall include maintenance of separate books of accounts, ensuring no mixing of FC and LC funds, managing sub-accounts, FCRA returns and other compliances

6. Establishes effective accounting and bookkeeping systems and procedures and oversees accounting services.

7. Ensure effective management of month-end process and timely clearance of balance sheet accounts.

8. Prepare budgets and reports on expenditure for donors by set deadlines.

9. Ensures and reviews monthly financial statements from the accountant and prepare narrative reports for the review of the board of directors.

10. Manages bank accounts and monitors reconciliations, transactions including wire transfers, credit cards, renewal of Certificates of Deposit, and keeping track of signing authorities

11. Prepares monthly financial reports for the Trust and internal management reports containing budget to actual expenditure information

12. Performs month-end closing and year-end duties such as reconciliations, VAT reimbursements, inventory lists, etc.

Office/Admin Management :

1. Responsible for all matters related to the operations and administration of the office.

2. Coordinate timely payment for administration related office supplies.

3. Develop, improve and document administrative procedures;

4. Prepare the bi-annual Board Meeting, convene and take minutes;

5. Handle contacts and office contracts;

6. Track progress of legal disputes and registrations;

7. Prepare and proofread internal documents.

Reporting

1. Prepare monthly, quarterly and annual financial statements.

2. To prepare donor financial reports for review and ensure timely submission to the donors, ensuring quality of the reports.

3. Provide monthly management reports which will include expenditures by project, sub grantee or Partners’ reporting and other financial information, in a timely and accurate manner.

4. Ensure overall budgeting and control of expenditures for direct and shared operational costs as well as coordination of budgeting and expenditure related to programme implementation.

Requirements:

1. Bachelor’s Degree in Accounting or Finance or Business Administration.

2. At least 8 years’ experience working with NGOs.

3. Hands-on experience/skills in MS Excel (experience in working with formulas) & ERP Systems (i.e.: Microsoft Dynamics)

4. Experience in preparation of Donor budget

5. Fluent in written and spoken both English.

6. Good management skills.

Job Type: Full-time

Pay: ₹35,000.00 - ₹40,000.00 per month
