About the Company


The Wedding Specialist is a client-facing professional responsible for planning, coordinating, and executing seamless, unforgettable wedding experiences from initial consultation through post-event follow-up. This role combines exceptional customer service, creative vision, and logistical expertise to deliver personalized weddings that reflect each couple’s unique story. The Wedding Specialist serves as the primary point of contact for clients, vendors, and internal teams, ensuring every detail is executed with precision and elegance.



About the Role

The Wedding Specialist is responsible for planning, coordinating, and executing seamless wedding experiences.


Responsibilities


  • Client Consultation & Planning:

  • Conduct in-person and virtual consultations to understand couples’ vision, budget, timeline, and cultural/religious requirements.
  • Develop customized wedding proposals and detailed event plans, including timelines, floor plans, and vendor recommendations.
  • Advise on venue selection, décor, floral design, catering, entertainment, transportation, and accommodations.


  • Vendor Management:

  • Build and maintain relationships with trusted vendors (photographers, florists, caterers, DJs, officiants, etc.).
  • Negotiate contracts, manage bookings, and ensure vendor compliance with client expectations and venue policies.


  • Event Coordination:

  • Oversee all logistics on the wedding day: setup, timeline adherence, vendor coordination, guest flow, and contingency planning.
  • Serve as the lead on-site coordinator, troubleshooting issues in real-time to ensure a flawless experience.


  • Administrative & Financial Oversight:

  • Manage client contracts, deposits, payments, and invoices using event management software
  • Maintain accurate records of client preferences, budgets, and communications.


  • Marketing & Sales Support:

  • Participate in bridal shows, open houses, and networking events to generate leads.
  • Maintain an up-to-date portfolio of past weddings for marketing and social media promotion.
  • Collect and share client testimonials and photos (with permission) to enhance brand reputation.


  • Client Experience & Follow-Up:

  • Provide ongoing communication leading up to the event (weekly check-ins, reminders, mood boards, etc.).
  • Conduct post-wedding debriefs and thank-you outreach to foster long-term relationships and referrals.



Qualifications


  • Education:

  • High school diploma required; Associate’s or Bachelor’s degree in Event Planning, Hospitality, Communications, or related field preferred.


  • Experience:

  • Minimum 3–4 years of experience in wedding planning, event coordination, or luxury hospitality.
  • Proven track record of managing multiple weddings simultaneously with high client satisfaction.


Required Skills

  • Exceptional organizational, time management, and multitasking abilities.
  • Outstanding interpersonal and communication skills (written and verbal).
  • Strong negotiation, problem-solving, and conflict-resolution skills.
  • Proficient in Microsoft Office Suite and event planning software.
  • Knowledge of local venues, vendors, and wedding trends.
  • Ability to work evenings, weekends, and holidays as required (weddings occur outside standard business hours).
