Position Overview:

Travel Desk & Visa/Immigration Specialist

The ideal candidate will possess excellent communication skills, strong attention to detail, and a thorough understanding of global travel requirements and visa/immigration processes.

Key Responsibilities:

Travel Desk Responsibilities:

  • Plan, coordinate, and book business travel (flights, hotels, transportation, etc.) for employees.
  • Manage travel itineraries and ensure all logistics align with company policies and budget.
  • Maintain relationships with travel agencies, airlines, and hotel partners to ensure competitive pricing and quality service.
  • Assist in resolving travel-related issues, such as flight delays, cancellations, and itinerary changes.
  • Advise employees on travel-related matters, including safety, travel regulations, and best practices.
  • Ensure adherence to travel policies and corporate guidelines.
  • Track and report on travel expenses for budgeting and compliance purposes.
  • Organize visa applications, including gathering required documentation and liaising with authorities for smooth processing.

Visa & Immigration Specialist Responsibilities:

  • Stay up to date on immigration laws and visa requirements for all regions and countries employees may need to travel to.
  • Prepare and process visa applications, renewals, and other immigration documents for employees and their dependents.
  • Liaise with government agencies, embassies, and consulates to ensure visa and immigration requirements are met in a timely manner.
  • Provide guidance to employees on visa/immigration-related matters, including timelines, documentation, and policies.
  • Track the status of visa applications and provide updates to employees and HR.
  • Assist in the preparation of work permits, residence permits, and other legal documentation required for employee travel and relocation.
  • Ensure compliance with local, national, and international immigration laws and company policies.

Qualifications:

  • Bachelor's degree in Business Administration, Hospitality, HR, or related field.
  • Proven experience in corporate travel coordination and visa/immigration processing.
  • Strong knowledge of travel systems (e.g., GDS, Concur) and visa application procedures.
  • Familiarity with international visa and immigration laws, especially for corporate travel.
  • Ability to work efficiently in a fast-paced environment while managing multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with a keen attention to detail.
  • Ability to provide a high level of customer service to employees and external stakeholders.
  • Proficiency in Microsoft Office Suite and travel booking systems.
