Role Description
This is a full-time on-site role as a tender executive at Stepin Adventure in Pune. The Tender Executive will be responsible for managing and responding to tender opportunities, preparing tender documents, coordinating with internal teams, and ensuring timely submission of tenders.
Tender Executive – GeM & Non GeM.Work Duties
·Reviewing tender documents, and scope of works, checking the feasibility for qualification, and financial criteria, preparing presentations, risk matrix, and information to top management to get approval for bidding.
·To monitor and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing and preparing outgoing submissions; To ensure that tender submissions are standardized in format, font, logo, etc. and in line with customer's tender requirements.
·Assist in the preparation of tenders and standardized tender templates and paperwork.
·Prepare tender methodology, cash flows, and programs when a technical expert is unavailable.
·To do the compilation and, when necessary, draft high-quality proposals, bids, and tender answers to ensure that tenders and bids are handled professionally, quickly, and compliantly.
·To maintain a list of eligible vendors, particularly for upcoming bids.
·Compilation of varied input to create a more competitive bid document
·Monitoring deadlines
·Checking on evaluation and contract negotiation.
·Ongoing communication with the User Department regarding Tender criteria.
·Handling the GeM (Government e-Marketplace) website portal and ensuring all necessary formalities for the same.
·Handling the following functions: Tender Search Bid Preparation - Technical Price Bid; E - tendering / E - Bidding / Reverse Auctions / Live Auctions; Prepare all tender documents in the specific formats related to the bid;
Submit the documents within stipulated time limits as mentioned in the NIT of tenders;
Coordinate with the respective dept. for document procurement in the process of tenders;
Reporting bidding status online / offline daily;
Preparing Datasheets maintaining records regularly;
Following up with Vendors / OEMs / departments/clients;
MIS Report preparation / competitive bidders comparison sheet;
Collection of EMD / coordinate with accounts department for EMD / TENDER FEE;
PROCUREMENT of EMD / post tendering works; Vendor Registration for Limited tenders;
Attending pre-bid/post-bid meetings with customers;
Maintaining Customer Relationships with existing / new clients;
Tracking the status of tender offers; Well versed with document controlling;
Proficiency in Excel, Word & PPT.
AREA OF RESPONSIBILITY INCLUDES:
MIS Report; Excellent Written and Verbal Communication in English.
Preparation of Tenders & Procedures / Bidding and submission of Tenders.
Uploading/Submitting the Documents (General/Technical/Commercial) in the ONLINE Platform.
Liaison with Govt. Department for Vendor Registrations.·Approvals and Renewal.
Preparing the proposals (Technical & Commercial). Preparing & filling E-Tenders.
Bid Making. Search Government Tenders.
Follow-up with government clients Other Tender related works Searching tenders on relevant web portals Identifying bid opportunities and creating Bids in designated bidding systems
Preparing all documents required for responses Preparing and submitting bid paperwork
Coordinating Big opportunities with team to ensure bids are met in a timely and successful fashion
Actively contributes to the development and implementation of all rules and procedures governing tendering and contract process
Work Hours): Working hours will start from 09:30 hrs Till 18:30 hrs
(Weekly off): 1 day per week (Sunday)
Compensations and Benefits): Position Compensations and Benefits are: (PF, ESIC)
Probation Period): 6 Months from the date of Joining
Notice Period): You will be required to give at least one month (thirty days) notice to the company in advance of your resignation or pay the company one month’s salary instead of the notice.
